Add Events and Holidays to a School Calendar

Overview

The Calendar page allows administrators to manage school events and holidays throughout the academic year. In addition to creating events and holidays, administrators can temporarily change the status of individual dates by marking a school day as a holiday or converting a holiday back into a school day.

Maintaining an accurate school calendar helps ensure that attendance, scheduling, and other academic activities align with the institution's operational schedule.

Add an Event

Events can be used to record important school activities such as examinations, parent-teacher meetings, sports days, workshops, celebrations, or other institution-specific events.

To add an event:

  1. Navigate to School → Calendars.
  2. Select the appropriate calendar from the Calendar dropdown.
  3. Click on the required date.
  4. In the Add New dialog, select the Event tab.
  5. Enter:
    • Title
    • Start Date
    • End Date
    • Notes (optional)
  6. Choose an Event Color.
  7. Select the user roles that should be able to view the event.
  8. Click Submit.

The event will now appear on the selected calendar.


Add a Holiday

To add a holiday:

  1. Click on the required date in the calendar.
  2. Select the Holiday tab.
  3. Enter:
    • Holiday Title
    • Start Date
    • End Date
    • Notes (optional)
  4. Click Submit.

The selected dates are marked as holidays on the calendar.


Mark a School Day as a Holiday

School days are displayed using the standard instructional day color. If a regular instructional day needs to become a holiday, administrators can update it directly from the calendar.

To mark a school day as a holiday:

  1. Locate the required instructional day.
  2. Click the School Day toggle on that date.
  3. The day is immediately converted to a holiday.

After the change:

  • The date is displayed as a holiday.
  • Attendance and scheduling follow the updated calendar status.

Mark a Holiday as a School Day

If a previously configured holiday becomes an instructional day, administrators can restore it directly from the calendar.

To mark a holiday as a school day:

  1. Locate the holiday on the calendar.
  2. Click the Holiday toggle displayed on that date.
  3. The holiday is converted back into a regular school day.

This allows schools to accommodate schedule changes without recreating the calendar.


Understanding Calendar Colors

The calendar uses different colors to help distinguish instructional and non-instructional days.

  • Green – Regular instructional (school) days.
  • Pink – Holidays or non-instructional days.

These visual indicators help administrators quickly identify the operational status of each date.


Best Practices

  • Schedule events well in advance whenever possible.
  • Use clear, descriptive titles for events and holidays.
  • Review calendar changes before modifying instructional days.
  • Notify staff, students, and parents of significant calendar updates.
  • Verify changes before attendance and scheduling activities begin.
