The Associated Students section connects a parent or guardian record with one or more students in openSIS. This association establishes the relationship between the parent and student and allows the system to present the appropriate student information through the parent portal.
When creating the association, authorized users can specify the parent’s relationship to the student and indicate whether the parent has custody or should be treated as an emergency contact.
Navigation: Parents > Parent’s Name > General Info > Associated Students
The student cards in this section display the students already connected to the parent.
Each associated student card may display:
Review the existing associations before adding another student. This helps prevent the same student from being associated with the parent more than once.
A single parent can be associated with multiple students. The relationship should be recorded separately for each student because a parent or guardian may have a different relationship or responsibility for each associated student.
Select Cancel or the X icon to close the window without continuing.
By default, the search follows the current school context. Enable Search All Schools when the parent needs to be associated with a student belonging to another school available to the user.
This option is especially useful for families with students attending different schools within the same organization. The schools and students included in the search depend on the user’s assigned access and permissions.
After locating and selecting the required student, openSIS displays the student’s available information for verification. This may include:
Review these details carefully before creating the association. Matching the name alone may not be sufficient when multiple students have similar names. Use the Student ID, date of birth, school, grade level, and address to confirm that the correct student has been selected.
If the information does not belong to the intended student, return to the search window and select the correct record.
The Contact Relationship field identifies how the parent or guardian is related to the selected student.
The relationship is required before the association can be completed. The values available in the list depend on the relationships configured by the institution.
Accurate relationship information is important because it appears in parent and student records and helps staff understand the nature of the connection.
Select the Custody checkbox when the parent or guardian has custody of the student according to the institution’s verified records.
Leave the checkbox cleared when the parent should be associated with the student but should not be identified as having custody.
Custody information should be entered carefully and only on the basis of the institution’s approved documentation and procedures. Associating a parent with a student does not automatically mean that the parent has custody.
Select Emergency Contact when the parent should be identified as an emergency contact for the student.
Before enabling this option, verify that the parent’s phone numbers and other contact details are current. Accurate contact information is essential when school staff need to reach the parent quickly.
The parent can be associated with a student without being marked as an emergency contact. Therefore, select this option only when it applies to the individual parent–student relationship.
After reviewing the student and entering the relationship information:
The student will be added to the parent’s Associated Students section. Review the student card to verify that the student’s name, school, grade level, and relationship are correct.
If an incorrect or outdated association must be removed:
Removing an association disconnects the student from that parent record. It should not be used to disable the complete parent account when the parent remains associated with other students.
Important: Parent–student associations affect the relationship information and student access available through the parent portal. Always verify the student, relationship, custody status, and emergency-contact status before saving or removing an association.
