Attendance Report with Comments (Teacher Portal)

Overview

The Attendance Report with Comments provides a detailed, record-level view of student attendance along with any comments added during attendance marking.

It helps teachers:

  • Track attendance history with context
  • Review notes added during attendance
  • Maintain records for communication and audits

How to Access

Go to:
Reports → Attendance → Attendance Report with Comments


Step 1: Select Course Section

Course Section

  • Select the course section
  • Example: English

  • Loads students for the selected section

Select Students

  • Choose one or multiple students
  • Report is generated only for selected students

Include Inactive Students

  • Toggle to include inactive students in the list

Generate Report

  • Enabled after selecting students
  • Click to proceed

Step 2: Report View

Columns Explained


Date

  • Date of attendance record

Student Name / ID

  • Identifies the student

Period

  • Class period when attendance was recorded

Course Section Name

  • Course linked to the attendance

Attendance Code

  • Attendance status for that record

Notes
Codes are configured by the administrator and may vary by institution


Comments

  • Notes entered during attendance marking
  • Example:
    • “Late due to transport”
    • “Medical leave”
    • “Left early”

Duration Filter

Duration Options

  • Whole Course Section Dates → Entire duration
  • This Month → Current month
  • This Week → Current week
  • Custom Date Range → User-defined period

Regenerate

  • Refresh report after changing duration

Export & Print

  • Export to Excel
  • Print report

Important Notes

  • Displays only recorded attendance entries
  • Comments appear only if entered during attendance
  • Attendance codes depend on admin configuration

Limitations

  • Cannot edit attendance or comments
  • Historical data only

  • Use for parent meetings and documentation
  • Add meaningful comments during attendance marking
  • Filter by date range for focused analysis
