Creating and Managing Custom User Profiles

Description

Custom User Profiles allow administrators to create role-specific access profiles beyond the default profiles provided in openSIS. These profiles are useful when an institution needs a user role with a customized set of permissions.

For example, an institution may create custom profiles for department coordinators, finance staff, admissions reviewers, higher education students, or support staff with limited access.

Create a Custom Profile

  1. Navigate to Settings → Administration Settings.
  2. Click Add Custom Profile.
  3. In the Add Custom Profile dialog, enter the following details:
    • Title – Enter the name of the custom profile.
    • User Type – Select the base user type for the profile.
    • Description – Add a short description of the profile, if needed.
  4. Click Submit.

The new profile appears under Available Profiles.


Assign Permissions to the Custom Profile

  1. Select the custom profile from the Available Profiles list.
  2. Review the permission matrix on the right.
  3. Expand the required modules using the arrow icons, or click Expand All.
  4. Enable or disable permissions as needed:
    • Can View – Allows users to access the module or page.
    • Can Edit – Allows users to add, update, or manage records.
  5. Click Collapse All when finished, if you want to reduce the expanded view.

The selected permissions define what users assigned to this profile can access and manage.


Edit a Custom Profile

  1. Locate the custom profile in the Available Profiles list.
  2. Click the three-dot menu beside the profile.
  3. Select Edit Item.
  4. Update the profile details.
  5. Click Submit.

Delete a Custom Profile

  1. Locate the custom profile in the Available Profiles list.
  2. Click the three-dot menu beside the profile.
  3. Select Delete Item.
  4. Confirm the deletion.

The custom profile is removed from the available profiles list.


Notes

  • Default profiles cannot be deleted.
  • Custom profiles are created based on a selected user type.
  • Permission changes affect users assigned to that profile.
  • Use Can View and Can Edit carefully to maintain secure access control.

Expected Outcome

A custom user profile is created and configured with the appropriate permissions, allowing the institution to manage specialized user access in openSIS.
