Difference Between Group Drop and Group Delete

Overview

The Group Drop and Group Delete features are both used to remove scheduling assignments in openSIS, but they serve different purposes. Understanding the difference helps ensure that scheduling records are managed correctly and that student enrollment history is preserved when required.


Group Drop

When students are dropped from a course section, you must specify a Drop Date. The system records the transaction on the selected date and preserves the student's enrollment history.

When a student is dropped:

  • The enrollment remains on record until the selected drop date.
  • Attendance and assignment grades recorded up to the drop date are preserved.
  • Schedule reports continue to display the student's entry and drop dates for the course.
  • The student is considered withdrawn from the course section effective on the selected drop date.

Use Group Drop when a student is officially leaving a course after it has already begun.


Group Delete

If a student or teacher was scheduled into a course section by mistake, use Group Delete to remove the scheduling assignment completely.

When a schedule is deleted:

  • The scheduling transaction is permanently removed.
  • The course enrollment no longer appears in the student's schedule.
  • The scheduling record is erased as though it never existed.
  • You can recreate the schedule from the beginning if needed.

Use Group Delete only when the scheduling assignment was created in error or needs to be removed entirely.


Key Difference

  • Group Drop retains scheduling history by recording a drop date and preserving attendance, grades, and enrollment information up to that date.
  • Group Delete permanently removes the scheduling assignment and does not retain the deleted scheduling record.

In simple terms:

  • Dropping retains schedule details.
  • Deleting erases schedule details.

Best Practices

  • Use Group Drop when a student is withdrawing from a course during the academic session.
  • Use Group Delete when correcting scheduling mistakes or removing an incorrect assignment before it should exist in the student's schedule.
  • Review your selection carefully before performing a Group Delete, as the scheduling record cannot be recovered once removed.
