Generate Absence Summary Reports

Overview

The Absence Summary Report provides a student-wise summary of attendance codes for a selected course, course section, and marking period. It helps administrators review how many times each attendance code has been applied to a student.

Use this report when you need to identify students with repeated absences, tardies, excused absences, unexcused absences, or other attendance-related codes.

Unlike the Average Attendance Reports, which show grade-level attendance statistics, the Absence Summary Report focuses on individual student attendance code totals and allows you to view detailed attendance history for each student.

Prerequisites

Before generating this report, ensure that:

  • Attendance has been recorded for the selected course or course section.
  • Attendance codes are configured in the system.
  • Course sections are available for the selected school year.
  • You have permission to access the Reports module.

Generate the Absence Summary Report

  1. Navigate to Reports > Attendance.
  2. Select Absence Summary.
  3. Select the required Course.
  4. Select the required Course Section.
  5. Select the required option from Show Report by.
  6. Click Search.

The absence summary list is displayed.

Understanding the Report List

The report list displays each student with attendance code totals, such as:

  • Student Name
  • Student ID
  • Alternate ID
  • Grade
  • Attendance code counts
  • Action menu

The attendance code columns may vary depending on your school’s attendance setup.

View a Student’s Attendance Details

  1. In the Action column, click the three-dot menu for the required student.
  2. Select View Report.

The detailed student attendance report is displayed.

The detail view includes:

  • Student information
  • Attendance overview
  • Absence rate
  • Period selector
  • Date-wise attendance records
  • Attendance code
  • Course period
  • Comments, if available

Use the Period dropdown to switch between attendance periods when reviewing period-based attendance.

Export the Report

Click the Excel icon to export the absence summary list.

From the Action menu, you can also select Export to Excel for an individual student’s detailed attendance report.

Tips

  • Use this report to quickly identify students with repeated absences or tardies.
  • Review the student detail view when you need date-wise attendance information.
  • Use the Period selector when attendance is tracked across multiple periods.
  • Export the report for attendance follow-up, counseling records, or administrative review.
