Generate Account Statement Reports

Overview

The Account Statement Report provides a detailed financial statement for each student, including assigned fees, payments received, outstanding balances, deposits, and transaction history for a selected reporting period.

This report is useful for reviewing a student's financial account, sharing fee statements with parents or guardians, and tracking outstanding balances and overdue payments.

Unlike the Payment History Report, which focuses only on payments received, the Account Statement Report provides a complete financial summary of a student's account, including charges, invoices, payments, deposits, balances, and due dates.


Prerequisites

Before generating this report, ensure that:

  • Fee types and fee assignments have been configured.
  • Student billing transactions have been recorded.
  • You have permission to access the Reports module.

Generate the Account Statement Report

  1. Navigate to Reports > Billing & Fees.
  2. Select Account Statement.
  3. Select the required reporting period from Select Date.
  4. (Optional) Enable Show Overdue Only to display only students with overdue balances.
  5. Click Search.

The list of student account statements is displayed.


Understanding the Report List

The report displays the following information for each student:

  • Student Name
  • Student ID
  • Grade Level
  • Phone Number
  • Open Balance
  • Overdue Balance
  • Print Statement option

Use the Search field to locate a specific student.

Use Advanced Search to further filter the report based on available criteria.


  1. Locate the required student.
  2. Click Print Statement in the Action column.

The printable account statement includes:

  • School information
  • Student information
  • Total Fees
  • Total Payments
  • Balance Due
  • Deposit Balance
  • Transaction history
  • Fee Type
  • Transaction Type
  • Amount
  • Running Balance
  • Payment or Invoice Status
  • Due Date

This statement can be printed or saved as a PDF for record keeping or parent communication.


Export the Report

Click the Excel icon to export the account statement list.


Filter the Report

Use the Filter icon to customize the displayed records based on your reporting requirements.


Tips

  • Use Show Overdue Only to quickly identify students with outstanding balances.
  • Print individual account statements before parent meetings or fee collection follow-ups.
  • Export the report for financial reconciliation or administrative record keeping.
  • Review the transaction history to verify invoices, charges, payments, and deposits.
