Generate Attendance Reports with Comments

Overview

The Attendance Report with Comments displays student attendance records along with comments entered during attendance marking. This report is useful when administrators need to review not only the attendance status, but also the reason or note recorded for that attendance entry.

Use this report to check attendance remarks, follow up on absence explanations, or review teacher/admin comments linked to attendance records.

Unlike the Absence Summary Report, which focuses on attendance code totals, this report focuses on attendance entries that include comments.

Prerequisites

Before generating this report, ensure that:

  • Attendance has been recorded for students.
  • Comments have been added to attendance entries where required.
  • You have permission to access the Reports module.

Generate the Attendance Report with Comments

  1. Navigate to Reports > Attendance.
  2. Select Attendance Report with Comments.
  3. Select the required option from Show Report by.
  4. Select the required Grade Level.
  5. Click Search.

The report is displayed.

Understanding the Report

The report displays attendance records with comment details, including:

  • Student Name
  • Student ID
  • Grade
  • Attendance Date
  • Attendance Code
  • Course or Period details, if applicable
  • Comments entered for the attendance record

Use the Search field to locate a specific student or attendance comment.

Regenerate the Report

If you change the filter criteria, click Regenerate Report to refresh the report results.

Export the Report

Click the Excel icon to export the report data.

Click the Print icon to generate a printable version of the report.

Tips

  • Use this report when attendance comments are important for follow-up or documentation.
  • Comments help explain why a student was marked absent, tardy, excused, or assigned another attendance code.
  • Export the report when sharing attendance notes with administrators or maintaining supporting records.
