Generate Collection by Fee Type Reports

Overview

The Collection by Fee Type Report provides a summary of fees assigned to students based on a selected fee type and payment status. It helps administrators track fee collections, identify unpaid or partially paid fees, and monitor the collection status of individual fee categories.

Use this report to evaluate collections for specific fee types, such as tuition, laboratory fees, transportation fees, or other institution-defined fee categories.

Unlike the Daily Transaction Report, which displays individual billing transactions, the Collection by Fee Type Report summarizes fee collection status for a selected fee type across multiple students.


Prerequisites

Before generating this report, ensure that:

  • Fee types have been created and assigned to students.
  • Billing transactions and payments have been recorded.
  • You have permission to access the Reports module.

Generate the Collection by Fee Type Report

  1. Navigate to Reports > Billing & Fees.
  2. Select Collection by Fee Type.
  3. Select the required reporting period from Select Date.
  4. Select the required Fee Type.
  5. Select the required Payment Status.
  6. (Optional) Enable Include Inactive Students.
  7. The report is generated automatically based on the selected filters.

Understanding the Report

The report displays fee collection information for each student, including:

  • Student Name
  • Student ID
  • Grade Level
  • Home Phone
  • Mobile Phone
  • Assigned Fee
  • Outstanding Balance
  • Payment Status

Use the Search field to quickly locate a student.


Filter the Report

You can refine the report by using:

  • Reporting Period
  • Fee Type
  • Payment Status
  • Include Inactive Students

These filters help you analyze collections for specific fee categories and payment conditions.


Export the Report

Click the Excel icon to export the report for further analysis or record keeping.


Filter Displayed Results

Click the Filter icon to customize the displayed records according to your reporting requirements.


Tips

  • Use this report to monitor fee collection progress by individual fee categories.
  • Filter by Unpaid or Partially Paid to identify outstanding balances requiring follow-up.
  • Enable Include Inactive Students when reviewing historical fee collection records.
  • Export the report for finance teams, audits, or collection tracking.
