Generate Open and Overdue Balance Reports

Overview

The Open and Overdue Balance Report provides a summary of students with outstanding balances, overdue balances, or both. It helps administrators track receivables and identify students whose fee payments require follow-up.

This report is also useful for reviewing AR Aging, as it shows balances grouped by aging periods such as current balance, 30 days, 60 days, 90 days, 120 days, and 120+ days.

Unlike the Collection by Fee Type Report, which focuses on one selected fee type, the Open and Overdue Balance Report focuses on overall outstanding and overdue balances across student accounts.

Prerequisites

Before generating this report, ensure that:

  • Fees have been assigned to students.
  • Due dates are configured for fee assignments or invoices.
  • Payments and billing transactions have been recorded.
  • You have permission to access the Reports module.

Generate the Open and Overdue Balance Report

  1. Navigate to Reports > Billing & Fees.
  2. Select Open and Overdue Balance.
  3. Select the required reporting period from Select Date.
  4. Choose the required balance option, if available.
  5. Click Search.

The report is displayed.

Understanding the Report

The report displays balance details for each student, including:

  • Student Name
  • Student ID
  • Grade Level
  • Phone Number
  • Open Balance
  • Overdue Balance
  • AR Aging details, such as current, 30 days, 60 days, 90 days, 120 days, and 120+ days

Use the Search field to quickly locate a student.

View Student Ledger

Click the Student Name to open the student's Ledger.

The Student Ledger provides detailed billing information, including fees, payments, deposits, balances, due dates, and transaction history.

Export the Report

Click the Excel icon to export the report.

Tips

  • Use this report to identify students with unpaid or overdue balances.
  • Review AR Aging columns to prioritize collection follow-ups.
  • Open the Student Ledger when you need complete transaction-level details.
  • Export the report for finance review or fee collection planning.
