Generate Report Cards in openSIS

Overview

The Report Cards module allows you to generate formal student report cards based on selected templates, grading data, and attendance.

You can:

  • Customize what appears on the report card
  • Select marking periods
  • Include/exclude grading and attendance data
  • Generate report cards for multiple students at once

How to Access

Go to:
Grades → Report Cards


Step 1: Select Report Card Template

Report Card Template

  • Choose a template (e.g., Default)
  • Templates control:
    • Layout
    • Formatting
    • Structure of report card

Notes
Templates are typically configured by the administrator


Step 2: Include on Report Card (Toggles)

This section controls what data appears on the report card.


Standards Grade

  • ON → Shows standards-based grading
  • OFF → Hides standards

Teacher Name

  • ON → Displays teacher name
  • OFF → Hides teacher name

Signature Line

  • ON → Adds signature line
  • OFF → Removes signature line

Teacher Comments

  • ON → Includes teacher remarks
  • OFF → Excludes comments

Comment Keys

  • ON → Shows meaning of comment codes
  • OFF → Hides keys

Percentage

  • ON → Displays percentage grades
  • OFF → Hides percentages

GPA

  • ON → Includes GPA
  • OFF → Hides GPA

Course Short Name

  • ON → Shows short course names
  • OFF → Shows full names or hides

Credit Earned

  • ON → Displays earned credits
  • OFF → Hides credits

Year-to-Date Daily Absences

  • ON → Shows total absences till date
  • OFF → Hides

Daily Absences this Marking Period

  • ON → Shows absences for selected period
  • OFF → Hides

Exclude Attendance

  • ON → Removes attendance data completely
  • OFF → Includes attendance

Other Attendance Code Year-to-Date

  • Toggle ON to include specific attendance codes
  • Dropdown (e.g., EA - Excused Absence) lets you choose which code

Notes
Displays count of selected attendance code for the year


Step 3: Select Marking Periods

Available Options

  • Full Year
  • Semester 1 / Semester 2
  • Quarter 1–4
  • Progress Periods (PP1, PP2, etc.)
  • Custom

Important Note

Notes
Marking periods are NOT default

  • They are created and configured by the administrator
  • Only those configured will appear here

How It Works

  • Select one or more marking periods
  • Report card will include grades from selected periods

Step 4: Select Students

  • Use checkboxes to select:
    • Individual students
    • Multiple students

👉 Required to generate report cards


  • Search → Find students quickly
  • Advanced Search → Apply detailed filters

Step 5: Generate Report Cards

👉 After selecting:

  • Template
  • Options
  • Marking periods
  • Students

➡️ Generate report cards


Export / Output

  • Report cards can be:
    • Viewed
    • Downloaded
    • Printed (depending on setup)

Important Notes

  • Report card data depends on:
    • Gradebook configuration
    • Completed grading
  • Missing grades may affect output
  • Attendance visibility depends on toggles

Limitations

  • Cannot edit grades here
  • Cannot create marking periods
  • Cannot modify templates (admin controlled)

Best Practices

  • Select correct marking period(s)
  • Use toggles carefully to control report content
  • Include comments for better communication
  • Double-check template before generating
