Issue Student Graduation Certificates

Overview

The Certificates page allows administrators to review a student's graduation eligibility and issue graduation certificates once all graduation requirements have been satisfied. The page displays each student's assigned graduation program, current graduation progress, and whether they are eligible to receive a diploma.

Before a certificate can be issued, administrators can review the student's completed courses, verify pass/fail status, set the certificate issue date, and save the graduation record. Once the student becomes eligible, the graduation certificate can be previewed and printed.


Before You Begin

Before issuing a graduation certificate, ensure that:

  • The student is assigned to a graduation program.
  • Required courses and credits have been completed.
  • Final grades have been posted.
  • Graduation progress has been calculated.
  • You have permission to manage graduation certificates.

Access the Certificates Page

  1. Navigate to Grades > Certificates.
  2. The page displays a list of students and their graduation information.

The student list includes:

  • Student Name
  • Student ID
  • Alternate ID
  • Grade Level
  • Section/Cohort
  • Graduation Program
  • Graduation Progress
  • Print Diploma Status

Use the Search field or Advanced Search to quickly locate a student.


Review Graduation Eligibility

Before issuing a certificate, review the student's graduation information.

The Program column displays the graduation program assigned to the student.

The Grad. Progress column indicates the percentage of graduation requirements the student has completed.

The Print Diploma column shows whether the student is currently eligible to receive a graduation certificate.

Students who have not yet met all graduation requirements will display Not Eligible Yet.


Update Graduation Records

Click a student's name to open the graduation details page.

The page lists every course associated with the student's graduation requirements, including:

  • School Year
  • Marking Period
  • Course Name
  • Course Code
  • Letter Grade
  • Percentage
  • Pass/Fail Status
  • Issue Date
  • Certificate Status

Review each course carefully before issuing the certificate.


Update Pass/Fail Status

If necessary, update the student's completion status.

  1. Locate the course.
  2. Select the appropriate value from the Passed/Failed drop-down.
  3. Repeat for any additional courses that require updates.

This information helps determine whether the student has successfully met the graduation requirements.


Set the Certificate Issue Date

For eligible students, enter the official certificate issue date.

  1. Click the Issue Date field.
  2. Select the appropriate date.
  3. Repeat for additional courses if required.

The issue date becomes part of the student's graduation record.


Save the Graduation Record

After reviewing the graduation information:

  1. Verify the pass/fail status.
  2. Confirm the issue date.
  3. Click Save.

The student's graduation record is updated accordingly.


Preview and Print the Graduation Certificate

Once the student becomes eligible:

  1. Click the Print Certificate icon.
  2. Review the certificate in the preview window.
  3. Verify the student's information.
  4. Download or print the graduation certificate.

The generated certificate includes the student's name, school information, completion date, and other details configured by the institution.


Best Practices

  • Verify that all final grades have been posted before issuing graduation certificates.
  • Review graduation progress to ensure all program requirements have been met.
  • Confirm the issue date before saving the graduation record.
  • Preview the certificate before printing to verify student information.
  • Retain digital and printed copies of issued certificates according to your institution's record retention policies.
