Generate Student Monthly Attendance Register

Overview

The Student Monthly Attendance Register provides a month-wise attendance register for all students within a selected grade level. It displays each student's daily attendance status in a calendar format, along with monthly attendance totals and attendance code summaries.

This report is useful for reviewing attendance across an entire grade, identifying attendance patterns throughout a month, and generating printable attendance registers for administrative records.

Unlike the Attendance Report by Day, which focuses on attendance statistics for individual students over a selected reporting period, the Student Monthly Attendance Register displays daily attendance records for every student in a selected month.


Prerequisites

Before generating this report, ensure that:

  • Student attendance has been recorded for the selected month.
  • The appropriate grade level exists in the current school year.
  • You have permission to access the Reports module.

Generate the Student Monthly Attendance Register

  1. Navigate to Reports > Attendance.
  2. Select Student Monthly Attendance Register.
  3. Select the required Grade Level.
  4. Select the Month for which you want to generate the report.
  5. (Optional) Enable Include Inactive Students to include inactive student records in the report.
  6. Click Generate Report.

The monthly attendance register is displayed.


Understanding the Report

The generated report includes:

  • Student name, student ID, and grade level.
  • A calendar-style attendance grid showing attendance for each school day in the selected month.
  • Daily attendance codes for every student.
  • Monthly Totals showing:
    • Present (P)
    • Absent (A)
    • Half Day (H)
  • Attendance Code Totals displaying the total count for each attendance code used during the month (such as Present, Absent, Tardy, Late, Half Day, Excused Absence, and Unexcused Absence, depending on your school's attendance configuration).

Search Within the Report

Use the Search box to quickly locate a specific student within the generated register.


Export the Report

Click the Excel icon to export the attendance register for further analysis or record keeping.


Click the Print icon to generate a printer-friendly version of the monthly attendance register.


Tips

  • Generate the report at the end of each month to maintain attendance records.
  • Enable Include Inactive Students when reviewing historical attendance for students who withdrew during the selected month.
  • Exporting the report to Excel allows you to perform additional analysis or archive attendance data outside openSIS.
