Generate Student Transcripts

Overview

The Transcripts page allows administrators to generate official student transcripts that provide a comprehensive record of a student's academic history. A transcript includes completed courses, grades, credits earned, GPA, class rank (if applicable), historical grades, and other academic achievements accumulated throughout the student's enrollment.

Unlike report cards, which summarize performance for a specific marking period, transcripts present a student's cumulative academic record and are commonly used for graduation, college admissions, student transfers, scholarships, and employment verification.


Before You Begin

Before generating transcripts, ensure that:

  • Student grades have been finalized.
  • Historical grades and transfer credits have been entered, if applicable.
  • GPA calculations are accurate.
  • Graduation requirements have been updated.
  • Transcript templates have been configured.
  • You have permission to generate student transcripts.

Open the Transcripts Page

  1. Navigate to Grades > Transcripts.
  2. Select the desired transcript template.
  3. Configure the transcript options.
  4. Select the students.
  5. Generate the transcripts.

Select a Transcript Template

Choose a template from the Template drop-down list.

The selected template determines the layout and formatting of the transcript.

Schools may create multiple transcript templates for different purposes, such as:

  • Official transcripts
  • Unofficial transcripts
  • Transfer transcripts
  • Graduation transcripts

Configure Transcript Options

Before generating the transcript, configure the available display options.

Cumulative GPA

Displays the student's cumulative Grade Point Average based on completed coursework.

Class Rank

Include the student's academic rank within their graduating class, if class ranking is enabled by the institution.

Credit Summary

Displays:

  • Credits Attempted
  • Credits Earned
  • Remaining Credits (if applicable)

Historical Grades

Include grades transferred from previous schools when historical grades have been entered into openSIS.

GPA Summary

Displays weighted and unweighted GPA calculations where applicable.

Signature Section

Include signature lines for school officials if required by your institution.

The available options may vary depending on the selected transcript template.


Select Students

Use the student list to select the students whose transcripts will be generated.

You can:

  • Search for individual students.
  • Use Advanced Search to filter students.
  • Generate transcripts for a single student.
  • Generate transcripts in bulk for multiple students.

Generate Transcripts

After configuring the transcript options:

  1. Review the selected template and settings.
  2. Select the required students.
  3. Click Print.

openSIS generates printable transcript documents for the selected students.

A transcript may include:

  • School information
  • Student information
  • Student ID
  • Grade level
  • Graduation year
  • Academic history
  • Courses completed
  • Letter grades
  • Percentage grades
  • Credits attempted
  • Credits earned
  • Historical grades
  • Weighted GPA
  • Unweighted GPA
  • Cumulative GPA
  • Class rank
  • Graduation status
  • School official signatures

The exact information displayed depends on the selected transcript template and institutional configuration.


Historical Grades on Transcripts

If historical grades have been entered through the Add/Edit Historical Grades page, they can be included on the student's transcript.

This ensures that transfer credits and previous academic achievements become part of the student's permanent academic record.

  • Verify all report card grades before generating transcripts.
  • Review historical grades and transfer credits for accuracy.
  • Confirm GPA calculations after any grade modifications.
  • Use the appropriate transcript template for the intended purpose.
  • Generate a sample transcript before printing in bulk.
  • Archive official transcripts according to your institution's record retention policies.
