Generate Truancy Reports

Overview

The Truancy Report helps identify students based on their absence percentage. It allows administrators to search for students whose absence rate is greater than, less than, or equal to a selected percentage.

Use this report to monitor chronic absenteeism, identify students who may require attendance intervention, and review detailed absence history for follow-up.

Unlike the Attendance Report with Comments, which focuses on attendance notes, the Truancy Report focuses on absence percentage and attendance risk.

Prerequisites

Before generating this report, ensure that:

  • Attendance has been recorded for the selected period.
  • Grade levels are configured in the system.
  • You have permission to access the Reports module.

Generate the Truancy Report

  1. Navigate to Reports > Attendance.
  2. Select Truancy Report.
  3. Select the required option from Show Report by.
  4. Select the required Grade Level.
  5. Select the absence percentage condition.
  6. Enter the required absence percentage.
  7. Click Search.

The truancy report list is displayed.

Understanding the Report List

The report list displays:

  • Student Name
  • Student ID
  • Alternate ID
  • Grade
  • Working Days
  • Days Absent
  • Absence Rate
  • Action menu

Use the Search field to locate a specific student.

View a Student’s Truancy Details

  1. In the Action column, click the three-dot menu for the required student.
  2. Select View Report.

The detailed attendance report is displayed.

The detail view includes:

  • Student information
  • Working Days
  • Days Absent
  • Absence Rate
  • Period selector
  • Date-wise attendance history
  • Full Day Minutes
  • Minutes Attended
  • Notes

Use the Period dropdown to review attendance details for a specific attendance period, if applicable.

Export the Report

Click the Excel icon to export the truancy report list.

From the Action menu, you can also select Export to Excel for an individual student’s detailed attendance report.

Tips

  • Use this report to identify students with high absence percentages.
  • Adjust the percentage condition to review different attendance risk levels.
  • Review the detailed report before taking any attendance intervention action.
  • Export the report for follow-up meetings or administrative records.
