How to Add and Manage Enrollment Codes in openSIS

Overview

Enrollment Codes allow institutions to define and manage the enrollment events used throughout the student lifecycle.

These codes help administrators track student admissions, withdrawals, transfers, and rollovers consistently across the system.

Administrators can:

  • Create enrollment codes
  • Edit existing codes
  • Delete unused codes
  • Organize enrollment codes using sort order

Accessing Enrollment Codes

To access Enrollment Code settings:

Settings > Student Settings > Enrollment Codes

The Enrollment Codes screen displays all configured enrollment codes and their associated types.


Adding a New Enrollment Code

To create an enrollment code:

  1. Navigate to:
    Info
    Settings > Student Settings > Enrollment Codes
  2. Click:
    Add New Enrollment Code
  3. Enter:
    • Title
    • Short Name
    • Type
    • Sort Order
  4. Click Submit

The new enrollment code will now be available throughout the system.


Enrollment Code Fields Explained

Title

The Title represents the enrollment event being tracked.

Examples:

  • New Enrollment
  • Withdrawal
  • Transfer In
  • Transfer Out
  • Academic Rollover

The title should clearly identify the enrollment activity.


Short Name

The Short Name is an abbreviated version of the enrollment code.

Examples:

Short names may appear in reports and administrative listings.


Type

The Type determines the enrollment action associated with the code.

Available enrollment types may include:

  • Add
  • Drop
  • Rolled Over

  • Drop (Transfer)

The selected type impacts how student enrollment records are processed.

Sort Order

The Sort Order determines the display sequence of enrollment codes throughout the system.

Lower values appear first.

Editing an Enrollment Code

To modify an enrollment code:

  1. Locate the enrollment code from the list.
  2. Click the edit icon.
  3. Update the required information.
  4. Save the changes.

The updated enrollment code becomes available immediately.


Deleting an Enrollment Code

To remove an enrollment code:

  1. Locate the code.
  2. Click the delete icon.
  3. Confirm the deletion.

Before deleting an enrollment code, administrators should verify that the code is no longer required for active enrollment workflows or historical reporting.


Reordering Enrollment Codes

Enrollment Codes can be organized using the Sort Order field.

Maintaining a logical order helps administrators locate and manage enrollment codes more efficiently.

Many institutions place the most frequently used enrollment codes at the top of the list.
