Manage a Student’s Address and Contact Information

The Address & Contact section stores the student’s home address, mailing address, phone numbers, email addresses, and other configured contact details. Authorized users can review and update this information to help the institution maintain accurate student records and communicate through the appropriate channels.

The student’s home and mailing addresses can be recorded separately when correspondence must be sent to an address different from the student’s residence.

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. From the left navigation menu, expand Students.
  4. Select Student Information.
  5. Search for the required student.
  6. Select the student’s name.
  7. Under Student Details, select Address & Contact.

InfoNavigation: Students > Student Information > Student’s Name > Address & Contact

The page displays the student’s home address, mailing address, and personal contact information.

Review the Student’s Home Address

The Student Home Address section records the student’s primary residential address.

The available fields may include:

  • Street Address 1: The primary street, building, or house information.
  • Street Address 2: Additional details such as apartment, unit, suite, floor, or locality.
  • Country: The country in which the student resides.
  • State/Province/Locality: The applicable state, province, region, or locality.
  • City: The student’s city or town.
  • Zip/Postal Code: The postal or ZIP code for the address.

A hyphen appears when a particular value has not been entered.

Review the Student’s Mailing Address

The Student Mailing Address identifies where correspondence should be sent.

The mailing-address fields may include:

  • Street Address 1
  • Street Address 2
  • Country
  • State/Province/Locality
  • City
  • Zip/Postal Code

The mailing address may be the same as the student’s home address or may be maintained separately.

A Different from Student’s Home Address indicator appears when the stored mailing address is not the same as the home address.

This is useful when:

  • The student receives mail at another residence.
  • Correspondence is sent to a post-office address.
  • The student resides temporarily at one location.
  • The institution has been instructed to use another mailing destination.

Review Personal Contact Information

The Personal Contact Information section may display:

  • Home Phone
  • Mobile Phone
  • Personal Email
  • School Email
  • Twitter
  • Facebook
  • Instagram
  • YouTube
  • LinkedIn

The available fields depend on the student-information configuration used by the institution.

The personal and school email addresses serve different purposes:

  • Personal Email is the student’s non-institutional email address.
  • School Email is the address provided or approved by the institution.

The login email used for portal access is maintained under General Info > Access Information and may or may not match one of these addresses.

Edit Address and Contact Information

  1. Open the student’s Address & Contact page.
  2. Select Edit Information.
  3. Update the required home-address fields.
  4. Review the mailing-address selection and information.
  5. Update the student’s phone and email details.
  6. Review any configured social contact fields.
  7. Save the changes.

Select Cancel if the changes should not be retained.

After saving, return to the view page and verify that the updated information is displayed correctly.

Enter the Home Address

When updating the home address:

  1. Enter the primary residential information in Street Address 1.
  2. Use Street Address 2 for additional address details.
  3. Select the correct Country.
  4. Select the applicable State, Province, or Locality.
  5. Enter the City.
  6. Enter the ZIP or Postal Code in the format used by the selected country.

Postal-code formats vary internationally and may contain numbers, letters, spaces, or hyphens. Record the value according to the student’s official address.

Configure the Mailing Address

If the mailing address is the same as the home address, use the available option to indicate that both addresses are identical.

If the mailing address is different:

  1. Select the option indicating that the mailing address differs from the home address.
  2. Enter the complete mailing address.
  3. Review the country, state or province, city, and postal code.
  4. Save the record.
  5. Confirm that the Different from Student’s Home Address indicator appears.

Do not enter the same address twice unless the system requires separate values. Using the same-address option helps keep the information consistent when the home address changes.

Update Phone Numbers

Enter the available phone information in the appropriate fields.

  • Use Home Phone for a shared residential telephone number.
  • Use Mobile Phone for the student’s mobile number.

Phone-number formats may vary by country and may include country codes, spaces, parentheses, or hyphens. Follow the institution’s data-entry standard.

Verify the number before saving, particularly if it is used for important student communication.

Update Email Addresses

When entering an email address:

  • Check the spelling carefully.
  • Confirm that the address belongs to the student.
  • Avoid entering a parent’s address in the student field unless the institution’s policy specifically requires it.
  • Record the school-issued address under School Email.
  • Record the student’s external address under Personal Email.

A valid email address supports communication but does not automatically grant student portal access. Portal access is managed separately under General Info.

Manage Social Contact Fields

Social-platform fields may be available when configured by the institution.

Only record these values when:

  • The institution has an approved reason for collecting them.
  • The student or authorized party has provided the information.
  • Collection complies with institutional privacy requirements.
  • The information is appropriate for the student’s age and context.

Do not enter assumed social-media profiles based only on similar names.

Verify Address and Contact Changes

After saving:

  1. Review the home address.
  2. Confirm whether the mailing address is the same or different.
  3. Check phone numbers for missing digits.
  4. Verify email spelling.
  5. Review the country and postal code.
  6. Confirm that no information has been entered in the wrong student record.

Accurate contact information supports communication, reporting, emergency processes, and other administrative workflows.

NotesImportant: Student addresses and contact details are personal information. Access, export, or modify them only when authorized and according to the institution’s privacy policies.
