Manage a Student’s Family Information

The Family Info section connects a student with parents, guardians, other contacts, and siblings. Authorized users can review the student’s primary and secondary contacts, add another contact, update or remove an existing relationship, identify applicable contact responsibilities, and associate sibling records.

Maintaining accurate family information helps the institution understand each person’s relationship with the student and contact the appropriate individual when necessary.

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. From the left navigation menu, expand Students.
  4. Select Student Information.
  5. Search for the required student.
  6. Select the student’s name.
  7. Under Student Details, select Family Info.

InfoNavigation: Students > Student Information > Student’s Name > Family Info

The Family Information page contains two tabs:

  • Contacts
  • Sibling Info

Review Student Contacts

The Contacts tab displays the parent, guardian, and other contact records associated with the student.

Each contact card may show:

  • Contact’s name
  • Profile photograph
  • Relationship to the student
  • Primary or Secondary designation
  • Custody or family-association indicator
  • Emergency-contact indicator
  • Options to edit or remove the association

The exact information and icons displayed depend on how the contact relationship was configured.

Understand Primary and Secondary Contacts

A contact may be identified as Primary or Secondary.

Primary Contact

The Primary designation identifies the person considered the student’s main family contact according to the institution’s records.

This may be the person who should receive routine communication or serve as the first point of contact. The designation does not automatically establish custody or emergency-contact status.

Secondary Contact

The Secondary designation identifies an additional contact connected to the student.

A secondary contact may still be a parent, guardian, custodian, or emergency contact. The designation simply differentiates the contact from the primary person recorded for the student.

Institutions should apply Primary and Secondary designations consistently so staff members understand the intended contact order.

Review Relationship Information

Each contact card displays the person’s relationship with the student, such as:

  • Father
  • Mother
  • Grandfather
  • Grandmother
  • Guardian
  • Other configured relationship

Relationship values are based on the options configured by the institution.

Verify the relationship carefully, particularly when contacts have similar names or when the same person is associated with multiple students.

Add Another Contact

Use Add Other Contact when another parent, guardian, family member, or authorized contact must be connected to the student.

  1. Open the Contacts tab.
  2. Select Add Other Contact.
  3. Search for an existing contact or enter the required contact information using the available workflow.
  4. Select the correct relationship.
  5. Choose the applicable Primary or Secondary designation.
  6. Indicate custody or emergency-contact status when applicable.
  7. Review the information.
  8. Save the contact association.

Before creating a new contact, search for an existing parent or guardian record. Reusing the correct existing record helps prevent duplicate contacts in openSIS.

Select the Correct Relationship

When associating a contact:

  1. Confirm the identity of the person.
  2. Select the contact’s correct relationship with the student.
  3. Review whether the person should be marked as Primary or Secondary.
  4. Select custody only when supported by the institution’s verified records.
  5. Select emergency-contact status only when the person should be contacted in an emergency.

Associating a person with a student does not automatically mean the person has custody or should be treated as an emergency contact. These details must be recorded separately when applicable.

Edit a Contact Association

Use the pencil icon on a contact card to update the student-contact relationship.

  1. Locate the required contact.
  2. Select the pencil icon.
  3. Review the relationship information.
  4. Update the necessary options.
  5. Save the changes.
  6. Confirm that the contact card displays the correct information.

Editing the association changes how the person is connected to this student. It does not necessarily change the contact’s complete parent or guardian profile.

To change the person’s name, phone number, email address, portal access, or address, open the corresponding parent or contact record.

Remove a Contact Association

Use the minus icon when a contact should no longer be associated with the student.

  1. Confirm that the correct student and contact are displayed.
  2. Select the minus icon.
  3. Review the confirmation message.
  4. Confirm the removal.

Removing the association disconnects the contact from the selected student. It does not necessarily delete the parent or contact record from openSIS, and it should not affect the person’s associations with other students.

Before removing a primary or emergency contact, confirm that the student retains the required contact information.

Review Sibling Information

Select the Sibling Info tab to review students associated as siblings.

If no sibling is connected, the page displays No Sibling Found.

Sibling associations help administrators identify family relationships between students enrolled in the institution or organization.

Add a Sibling

  1. Open the Sibling Info tab.
  2. Select Add Sibling.
  3. Search for the sibling’s student record using the available criteria.
  4. Verify the student’s identity using information such as name, Student ID, grade, school, or date of birth.
  5. Select the correct student.
  6. Complete the association.
  7. Confirm that the sibling appears in the list.

Only associate existing student records that represent a verified sibling relationship.

If the sibling does not yet have a student record, create or import the student through the appropriate student-registration process before attempting the association.

Avoid Duplicate Family Records

Before adding a parent, guardian, or sibling:

  • Search for the existing person or student.
  • Verify names and identifiers.
  • Check whether the association already exists.
  • Review related student records where permitted.
  • Avoid creating another record only because the existing one uses a different email or address.

Duplicate family records can cause inconsistent contact information, portal-access problems, and reporting errors.

Verify Family Information

After making changes:

  1. Review all contact cards.
  2. Confirm the relationship displayed for each person.
  3. Check Primary and Secondary designations.
  4. Verify custody and emergency-contact indicators.
  5. Review the Sibling Info tab.
  6. Ensure that no contact or sibling has been associated more than once.

NotesImportant: Family relationships, custody, and emergency-contact details are sensitive. Update them only using verified information and according to the institution’s authorization and privacy policies.
