Manage Applicant Enrollment Statuses

Overview

Enrollment statuses represent the different stages an applicant may move through during the admissions process. openSIS includes default enrollment statuses and also allows institutions to create additional statuses based on their admission workflow.

Enrollment statuses can also be used within Admissions Communication to configure email messages associated with different stages of the applicant process.


Go to:

Info
Settings > Admissions > Enrollment Status

The Enrollment Status page displays the configured statuses along with their usage information and available actions.


View Enrollment Statuses

The Enrollment Status page displays:

  • Enrollment Status Title – The name of the enrollment status.
  • In Use – Indicates whether the status is currently being used.
  • Action – Provides options for managing the status.
  • Sort – Allows statuses to be arranged in the required order.

Default statuses may include:

  • Applied
  • Directly Enrolled
  • Incomplete Application
  • Rejected
  • Provisionally Accepted
  • Accepted
  • Enrolled
  • Waitlisted

Additional statuses created by the institution are displayed along with the default statuses.


Add an Enrollment Status

To create a custom enrollment status:

  1. Go to Settings > Admissions > Enrollment Status.
  2. Click Add Enrollment Status.
  3. Enter the required enrollment status information.
  4. Save the enrollment status.

The new status is added to the Enrollment Status list and can be used as part of the institution's admissions workflow.


Edit an Enrollment Status

To modify an existing enrollment status:

  1. Locate the required status.
  2. Click the Edit icon under Action.
  3. Update the available information.
  4. Save the changes.

Arrange Enrollment Statuses

Enrollment statuses can be arranged to reflect the institution's preferred admissions workflow.

Use the Sort control beside a status to move it to the required position in the list.


Use Enrollment Statuses in Admissions Communication

Enrollment statuses are available under Admissions > Communication > Email Templates.

Each status can have an associated email template, allowing institutions to configure applicant communication based on the stage of the admissions process.

For example, separate messages can be configured for applicants who are Applied, Accepted, Waitlisted, or Enrolled.

Custom enrollment statuses created under Admissions Settings can also be used when configuring applicant communication.


Important Notes

  • openSIS provides default enrollment statuses for common admission stages.
  • Additional statuses can be created to support institution-specific admission workflows.
  • Review existing statuses before creating new ones to avoid duplicate or overlapping stages.
  • Enrollment statuses used in Admissions Communication can have their own email templates.
  • Changes to statuses already in use should be made carefully, as they may be associated with existing applicant records or communication workflows.
