Manage Referral Status and Administrative Decisions

Overview

After a student referral has been created, administrators can review the incident, assign responsibility, update its status, record disciplinary actions, and close the referral. These actions help ensure each behavior incident is tracked from submission through resolution.


Open a Referral

  1. Navigate to Behavior & Discipline > Referrals.
  2. Locate the referral using the available search or filter options.
  3. Click the Edit/View icon in the Action column.

The referral details page opens, displaying all recorded information for the incident.


Review the Referral

Before making any updates, review the referral information, including:

  • Students involved
  • Witnesses
  • Date and time of the incident
  • Incident location
  • Possible motivation
  • Major and minor behavior classifications
  • Incident description
  • Assigned staff
  • Reporting staff
  • Existing tags
  • Current administrative decision

Carefully reviewing these details helps ensure that appropriate disciplinary action is taken.


Record an Administrative Decision

The Administrative Decision field allows authorized users to record the disciplinary action taken in response to the referral.

To update the administrative decision:

  1. Open the referral.
  2. Locate the Administrative Decision section.
  3. Select the appropriate action from the drop-down list.
  4. Save the referral.

The available options are configured by your school and may include actions such as:

  • Warning
  • Parent Conference
  • Counseling
  • Detention
  • Suspension
  • In-School Suspension
  • Out-of-School Suspension
  • Other custom disciplinary actions

NotesNote: The available options may differ depending on your school's behavior and discipline configuration.


Update Staff Assignments

If responsibility for the referral changes, you can update the assigned staff members.

The referral displays:

  • Assigned To – Staff responsible for handling the incident.
  • Reporting Staff – Staff member who originally submitted the referral.

Keeping assignments current helps ensure referrals are addressed promptly.


Update Referral Information

As additional information becomes available, administrators may update the referral by modifying:

  • Incident description
  • Behavior classifications
  • Motivation
  • Location
  • Tags
  • Administrative decision
  • Staff assignments

Keeping referral records up to date ensures accurate reporting and complete student behavior histories.


Close a Referral

Once all required actions have been completed:

  1. Review the referral.
  2. Confirm the administrative decision has been recorded.
  3. Change the referral status from Open to Closed.
  4. Save the referral.

Closed referrals remain available for reporting and historical reference.


After a referral has been reviewed and finalized:

  1. Open the referral.
  2. Click the Print icon.
  3. Print or save the referral for school records if required.

Best Practices

  • Review referrals promptly after they are submitted.
  • Record administrative decisions consistently across similar incidents.
  • Keep incident descriptions factual and objective.
  • Update referrals whenever new information becomes available.
  • Close referrals only after all disciplinary actions have been completed.
  • Retain referral records as part of the student's behavior history.
