Managing Missing Attendance (Teacher Portal)

Overview

The Missing Attendance workflow helps teachers quickly identify and complete attendance records that were not submitted.

This ensures:

  • No attendance gaps
  • Accurate student records
  • Compliance with school policies

Where It Appears

  • A notification appears on the Dashboard
  • Example: “30 Missing Attendance Found”

Notes
This indicates that attendance has not been recorded for one or more classes.


Step-by-Step Workflow


1. View Missing Attendance Records

Steps:

  • Click on the Missing Attendance alert
  • You will be redirected to the Missing Attendance page

What You See:

  • Date range filter (From – To)
  • List of classes where attendance is missing

Columns Include:

  • Date
  • Course
  • Course Section
  • Grade Level
  • Period
  • Action (Take Attendance)

2. Select a Class to Take Attendance

  • Click Take Attendance for any record
  • Opens the attendance entry screen for that class

3. Mark Attendance

On the Attendance Screen:

You will see:

  • Student list
  • Attendance options (codes)
  • Comment section

Common Attendance Codes:

  • Present
  • Absent
  • Tardy
  • Late
  • Half Day
  • Excused Absence

Attendance codes are configured by the administrator and may vary by institution


4. Submit Attendance

  • Mark attendance for all students
  • Save/submit the record

Once completed:

  • That class will be removed from the Missing Attendance list

Important Notes

  • Missing attendance is calculated based on:
    • Scheduled classes
    • Attendance not recorded
  • Teachers are responsible for completing pending attendance
  • Attendance must be completed for each:
    • Date
    • Period
    • Course

Limitations

  • Cannot bulk mark attendance across multiple classes
  • Must complete attendance class-by-class
  • Past dates depend on school policy (may be restricted)

Best Practices

  • Check dashboard daily for missing attendance alerts
  • Complete attendance immediately after each class
  • Avoid backlog by addressing alerts promptly
