Managing Online Subscriptions in openSIS

Managing Online Subscriptions

Description

The Online Subscriptions settings allow administrators to configure subscription-based billing within openSIS. Subscription items can be associated with online payment providers, enabling recurring or scheduled payments for services such as tuition, transportation, meal plans, extracurricular activities, or other institution-specific programs.

This section serves as the central location for managing subscription-related payment settings after subscription items have been created.

NotesNote: To learn how to create subscription items, refer to How to Set Up Subscription Items in openSIS.

Understanding Online Subscriptions

Online Subscriptions work together with:

  • Subscription Items
  • Online Payment Gateways

Once configured, subscription items can be used to automate recurring billing and simplify payment collection for ongoing student services.

Before You Configure Online Subscriptions

Ensure the following prerequisites have been completed:

  • Subscription Items have been created.
  • An online payment gateway (such as Stripe or PayPal) has been configured.
  • Billing & Fees has been enabled for your institution.

These configurations ensure subscription payments can be processed successfully.

Managing Online Subscription Settings

  1. Navigate to Settings → Billing & Fees → Online Subscriptions.
  2. Review the available subscription configuration options.
  3. Configure the required subscription settings based on your institution's billing requirements.
  4. Save your changes.

The configured settings are applied to future subscription-based billing activities.

Benefits of Online Subscriptions

Using Online Subscriptions helps institutions:

  • Simplify recurring fee collection.
  • Reduce manual billing tasks.
  • Improve payment consistency.
  • Provide a convenient payment experience for students and parents.
  • Support long-term billing programs such as tuition installments and recurring service fees.

Best Practices

  • Configure a payment gateway before enabling subscription billing.
  • Review subscription items periodically to ensure they remain accurate.
  • Test subscription payments before using them in production.
  • Keep payment gateway credentials up to date.

Notes

  • Online Subscriptions rely on a configured online payment gateway.
  • Subscription items must exist before they can be used for recurring billing.
