The Process Application workflow allows authorized admissions staff to record the completion of review steps, update an applicant’s admissions status, and enroll an accepted applicant as a student. This helps institutions track each application consistently from initial submission through the final admissions decision.
Process steps and statuses should be updated only after the required information, documents, payments, and institutional decisions have been verified.
The processing window can be opened from the Applicants list or the Applicant Information page.

The processing window displays the applicant’s name, Application ID, current status, process steps, and Enrollment Status field.
Before updating the application:
Do not complete a process step simply to move the application forward. Each step should reflect an action or verification that has actually been completed.
The available process steps depend on the institution’s admissions configuration. Examples shown in the workflow include:
Use the toggle beside each step to indicate its completion.
Completed steps appear with an active indicator. The progress can later be used to filter applications from the Applicants page.
Open the Enrollment Status list and select the appropriate value.
Available statuses may include:
The application has been submitted and entered the admissions workflow.
The application requires additional information, documentation, or another action before it can be fully reviewed.
The applicant has received a conditional or preliminary acceptance but must still satisfy specified institutional requirements.
The institution has accepted the applicant. The applicant may still need to complete enrollment-related steps before becoming an enrolled student.
The institution has decided not to accept the applicant.
The applicant meets the applicable consideration requirements but is awaiting an available position or final decision.
The applicant has completed the required admissions process and will be converted or connected to a student record.
Select statuses according to the institution’s approved admissions policies. Changing a status does not replace any external communication or documentation required by the institution.
After updating the process steps and status:
If the application is moved to Enrolled, openSIS presents additional enrollment requirements before completing the conversion.
When enrollment is initiated, the system asks for the information needed to create or connect the student record.
The confirmation window includes:
Review each option before selecting Enroll.
The Grade Level field is required. Select it based on the institution’s placement or admissions decision.
The enrollment date is required and may affect student records and other academic processes. Use the institution-approved effective date.
Enable Copy Application Documents to Student Document Folder when uploaded admissions documents should be copied into the enrolled student’s document area.
This may include items such as:
Before enabling the option, confirm that the documents are appropriate for the student record and comply with the institution’s document-retention policies.
Leaving the option off keeps the documents with the application without copying them to the student’s document folder.
Enable Connect Applicant Information to Student 360 when the submitted applicant information should be connected to the student’s holistic record.
Student 360 provides a consolidated view of the student’s available academic, attendance, behavior, and related institutional information. Connecting the admissions information helps preserve continuity between the application and enrolled-student records.
Review the applicant information for accuracy before enabling this option.
Select Cancel if the information is incomplete or the applicant is not ready to be enrolled.
After the enrollment is completed:
The processing gear may become unavailable after the application has reached its completed enrollment state.
Important: Enrollment creates or connects an operational student record. Verify the applicant, school, grade level, enrollment date, and transfer options carefully before completing the action.
