Process an Application and Enroll an Applicant

The Process Application workflow allows authorized admissions staff to record the completion of review steps, update an applicant’s admissions status, and enroll an accepted applicant as a student. This helps institutions track each application consistently from initial submission through the final admissions decision.

Process steps and statuses should be updated only after the required information, documents, payments, and institutional decisions have been verified.

Open the Application Processing Window

The processing window can be opened from the Applicants list or the Applicant Information page.

From the Applicants List

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. Expand Admissions.
  4. Select Applicants.
  5. Locate the required application.
  6. Select the active gear icon under Process.

From Applicant Information

  1. Open the required applicant’s record.
  2. Review the submitted information and documents.
  3. Select Process Application.

InfoNavigation: Admissions > Applicants > Process

The processing window displays the applicant’s name, Application ID, current status, process steps, and Enrollment Status field.

Review the Application Before Processing

Before updating the application:

  • Confirm that the correct applicant is selected.
  • Verify the Application ID.
  • Review the submitted identification and contact information.
  • Check uploaded supporting documents.
  • Review internal comments.
  • Confirm any assigned tags.
  • Check the application payment status.
  • Verify the applicable institutional requirements.

Do not complete a process step simply to move the application forward. Each step should reflect an action or verification that has actually been completed.

Update the Process Steps

The available process steps depend on the institution’s admissions configuration. Examples shown in the workflow include:

  • Student re-enrolled
  • Application is complete
  • Student meets academic requirements
  • Student meets financial requirements
  • Student was interviewed
  • Acceptance letter was sent to student
  • Student accepted
  • Other institution-defined steps

Use the toggle beside each step to indicate its completion.

  1. Review the first process step.
  2. Turn on the toggle only if the step has been completed.
  3. Continue through the remaining steps.
  4. Leave incomplete or inapplicable steps turned off.
  5. Review all selections before updating the application.

Completed steps appear with an active indicator. The progress can later be used to filter applications from the Applicants page.

Select an Enrollment Status

Open the Enrollment Status list and select the appropriate value.

Available statuses may include:

Applied

The application has been submitted and entered the admissions workflow.

Incomplete Application

The application requires additional information, documentation, or another action before it can be fully reviewed.

Provisionally Accepted

The applicant has received a conditional or preliminary acceptance but must still satisfy specified institutional requirements.

Accepted

The institution has accepted the applicant. The applicant may still need to complete enrollment-related steps before becoming an enrolled student.

Rejected

The institution has decided not to accept the applicant.

Waitlisted

The applicant meets the applicable consideration requirements but is awaiting an available position or final decision.

Enrolled

The applicant has completed the required admissions process and will be converted or connected to a student record.

Select statuses according to the institution’s approved admissions policies. Changing a status does not replace any external communication or documentation required by the institution.

Save the Processing Updates

After updating the process steps and status:

  1. Review all completed steps.
  2. Confirm that the selected Enrollment Status is correct.
  3. Select Update.
  4. Return to the Applicants list or Applicant Information page.
  5. Verify that the new status is displayed.

If the application is moved to Enrolled, openSIS presents additional enrollment requirements before completing the conversion.

Enroll the Applicant as a Student

When enrollment is initiated, the system asks for the information needed to create or connect the student record.

The confirmation window includes:

  • Grade Level
  • Enrollment Date
  • Copy Application Documents to Student Document Folder
  • Connect Applicant Information to Student 360

Review each option before selecting Enroll.

Select the Grade Level

  1. Open the Grade Level list.
  2. Select the grade in which the student will be enrolled.
  3. Verify that the grade belongs to the correct school and enrollment period.

The Grade Level field is required. Select it based on the institution’s placement or admissions decision.

Enter the Enrollment Date

  1. Select the Enrollment Date field.
  2. Choose the date on which the student’s enrollment becomes effective.
  3. Confirm that the date falls within the intended academic period.

The enrollment date is required and may affect student records and other academic processes. Use the institution-approved effective date.

Copy Application Documents to the Student Document Folder

Enable Copy Application Documents to Student Document Folder when uploaded admissions documents should be copied into the enrolled student’s document area.

This may include items such as:

  • Identification proof
  • Previous academic records
  • Certificates
  • Signed documents
  • Other files submitted with the application

Before enabling the option, confirm that the documents are appropriate for the student record and comply with the institution’s document-retention policies.

Leaving the option off keeps the documents with the application without copying them to the student’s document folder.

Connect Applicant Information to Student 360

Enable Connect Applicant Information to Student 360 when the submitted applicant information should be connected to the student’s holistic record.

Student 360 provides a consolidated view of the student’s available academic, attendance, behavior, and related institutional information. Connecting the admissions information helps preserve continuity between the application and enrolled-student records.

Review the applicant information for accuracy before enabling this option.

Complete the Enrollment

  1. Confirm the applicant’s identity.
  2. Select the correct Grade Level.
  3. Enter the Enrollment Date.
  4. Decide whether application documents should be copied.
  5. Decide whether applicant information should connect to Student 360.
  6. Select Enroll.
  7. Wait for the system to complete the process.
  8. Return to the Applicants list.
  9. Confirm that the application status is Enrolled.
  10. Verify that a Student ID is displayed or that the correct student record is connected.

Select Cancel if the information is incomplete or the applicant is not ready to be enrolled.

After Enrollment

After the enrollment is completed:

  • Review the generated or connected student record.
  • Confirm the student’s grade level and enrollment date.
  • Verify transferred documents, if selected.
  • Confirm the Student 360 connection, if selected.
  • Review parent or guardian associations.
  • Complete any remaining student setup required by the institution.

The processing gear may become unavailable after the application has reached its completed enrollment state.

NotesImportant: Enrollment creates or connects an operational student record. Verify the applicant, school, grade level, enrollment date, and transfer options carefully before completing the action.
