The Re-enroll Student function allows authorized users to create a new enrollment for students who are currently inactive. Administrators can search for inactive students, review their previous enrollment and exit details, select one or more students, and assign the school, re-enrollment date, enrollment code, program, and grade level for their new enrollment.
This function should be used when a former student returns to the institution after previously exiting, withdrawing, transferring, or otherwise becoming inactive.
Navigation: Students > Re-enroll Student
The page displays a list of inactive students who are eligible to be selected for re-enrollment.
The page contains two main areas:
The re-enrollment values entered at the top of the page are applied to the selected student or students. Verify that the same values are appropriate for everyone selected.
The following fields are available:
Select the school into which the student will be re-enrolled.
The currently selected school may appear by default. Verify it before continuing, especially when the organization maintains multiple schools.
Enter the effective date of the student’s new enrollment.
The Re-enrollment Date should represent the date on which the returning student’s new enrollment begins. Confirm that the date belongs to the correct academic year and school calendar.
Select the code that describes the new enrollment.
Enrollment codes are configured by the institution and may identify the student as returning, re-entering, transferring in, or another applicable enrollment type.
Select the code that accurately represents the student’s return. This field is required.
Select the program associated with the student’s new enrollment.
The available programs depend on the selected school and system configuration. If the institution uses programs, select the appropriate one based on the student’s approved placement.
This field is required in the displayed workflow.
Select the grade in which the student will be placed after re-enrollment.
Do not automatically use the student’s Last Grade Level. Confirm the new grade based on the current academic year, previous enrollment history, and the institution’s placement decision.
The page states:
Showing list of inactive students. Select students to re-enroll.
The list may include:
Review the previous enrollment details before selecting the student.
Use the Student ID when multiple students have similar names.
Select Advanced Search when the student cannot be located through the standard search or when a specific group of inactive students is required.
Available criteria may include identification, demographic, enrollment, address, contact, and other configured student information.
Use the filter icon to refine the displayed inactive-student records.
Clear the filter when the complete inactive-student list is required.
Select the Excel icon to export the displayed inactive-student information.
Before exporting:
The export may contain student identifiers and enrollment history, so it should be handled according to the institution’s data-privacy policies.
When students need different grades or programs, process them separately or create smaller groups.
Do not proceed while a required field is highlighted or displays a validation message.
After completing the process:
The previous enrollment and exit information should remain available in Enrollment History.
Re-enrollment and rollover serve different purposes.
Do not use re-enrollment merely to move an active student into the next academic year. Use the appropriate rollover process based on the Rolling/Retention Option.
Use Re-enroll Student when a legitimate new enrollment must be created following an earlier exit.
If the previous enrollment contains an incorrect date, code, grade, or program, correct that record through Enrollment Info rather than creating an unnecessary new enrollment.
After the student becomes active, review:
A previous Moodle status does not necessarily confirm that the student’s new courses or current academic-year access are fully synchronized.
Important: Re-enrollment creates a new active enrollment and affects academic, attendance, scheduling, and reporting workflows. Verify the student, school, date, code, program, and grade before completing the action.
