Review and Manage an Applicant’s Application

The Applicant Information page provides admissions staff with a detailed view of an individual application. From this page, authorized users can review submitted information and documents, identify the application form used, assign the application to a staff member, add tags and internal comments, review payment status, edit or print the application, archive the record, and access application processing.

Open an Applicant’s Application

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. From the left navigation menu, expand Admissions.
  4. Select Applicants.
  5. Search for the required applicant.
  6. Select the applicant’s Application ID.

The Applicant Information page will open.

Review the Application Header

The application header provides key information about the applicant and application, including:

  • Applicant’s name
  • Application ID
  • Application date
  • Current application status

The current status may be displayed as Applied, Incomplete Application, Provisionally Accepted, Accepted, Rejected, Waitlisted, or Enrolled.

Use the copy icon beside the Application ID when the identifier must be copied for an internal reference, communication, or support request.

Select the back arrow to return to the Applicants list.

Review Submitted Applicant Information

The main section of the page displays the information submitted through the application form. The fields shown depend on the form used by the applicant.

Submitted details may include:

  • Applicant’s name
  • Gender
  • Personal email
  • Mobile phone
  • Identification information
  • Address and contact details
  • Primary or secondary contact information
  • Program information
  • Uploaded documents
  • Responses to custom fields

A hyphen may appear when a particular item was not provided or is unavailable.

Review the submitted information carefully before changing the application status or enrolling the applicant.

Review Uploaded Documents

Files submitted through File Upload fields appear within the corresponding application section.

  1. Locate the uploaded document.
  2. Select the document name or file link.
  3. Open or download the file using the available browser option.
  4. Verify that the document belongs to the applicant.
  5. Confirm that it satisfies the institution’s requirements.

Uploaded files may include identification proof, transcripts, certificates, or other supporting documents requested by the institution.

Handle applicant documents according to the institution’s privacy, security, and record-retention policies.

Identify the Application Form

The Form Name panel displays the form associated with the application.

When multiple forms are connected to the application, review the form list to identify the primary and supplemental submissions. The selected form is visually indicated.

Select the available open icon beside a form name to access the corresponding form or submission view.

A status indicator beside the form can help staff identify the currently selected or applicable submission.

Assign the Application

The Assigned To option allows the application to be assigned to an authorized staff member for review or follow-up.

  1. Select the Assigned To field.
  2. Choose the appropriate user.
  3. Confirm or save the assignment as required.

Assigning applications supports workload management and helps the admissions team identify responsibility for each applicant.

If the field is highlighted as required, select an assignee before completing the related admissions action.

Add and Manage Tags

Tags provide a visual way to categorize an application.

  1. Select the settings icon beside Tags.
  2. The Tags window will open.
  3. Select Add New Tag.
  4. Choose the required tag color.
  5. Enter the Tag Name.
  6. Use the available plus action to add another tag entry when needed.
  7. Select Submit.

Tags may be used for institution-defined purposes, such as:

  • Priority review
  • Missing documentation
  • Financial follow-up
  • Interview required
  • Program classification
  • International applicant
  • Internal review category

Use clear, consistent tag names so that staff members interpret them correctly.

To apply existing tags, open the Tags option and select the relevant values. The applied tags can then be used as filters on the Applicants page.

Write an Internal Comment

The Write a comment section allows admissions staff to record notes related to the application.

  1. Select the comment editor.
  2. Enter the relevant information.
  3. Use the formatting controls when necessary.
  4. Add a link or image only when appropriate and permitted.
  5. Save or submit the comment using the available option.

Comments may be useful for recording:

  • Review observations
  • Missing-information follow-ups
  • Document verification notes
  • Interview details
  • Internal decisions
  • Communication history
  • Next steps for the assigned reviewer

Comments should remain professional, factual, and relevant to the application. Avoid recording unnecessary sensitive information.

Review Application Payment Status

The Application Payment Status section shows whether the configured application charge has been paid.

The status may appear as:

  • Paid
  • Unpaid
  • N/A

If the application is marked Unpaid, verify the form’s fee or subscription requirements and review the available payment information before completing a payment-dependent process step.

An N/A status may indicate that no application payment applies to the form.

The payment status shown in openSIS should be reviewed alongside the institution’s approved billing process when additional verification is necessary.

Edit an Application

Authorized users can update application information when corrections are required.

  1. Select the three-dot menu in the application header.
  2. Select Edit Application.
  3. Review the editable form information.
  4. Make the necessary corrections.
  5. Save the changes.
  6. Return to the Applicant Information page and verify the updated data.

Changes should reflect verified information supplied by the applicant or authorized institutional staff. Do not alter applicant responses without a valid administrative reason.

  1. Select the three-dot menu.
  2. Select Print.
  3. Review the print preview.
  4. Select the required printer or save-to-PDF option.
  5. Complete the print process.

Printed or downloaded applications contain personal information and must be stored securely.

Archive an Application

Archiving removes an application from the standard active list while retaining it for authorized reference.

  1. Select the three-dot menu.
  2. Select Archive Application.
  3. Review the confirmation message.
  4. Confirm the action.

Archived applications can be located by enabling Show Archived Applications on the Applicants page.

Archive an application when it should no longer participate in the active admissions workflow but must remain available for historical or administrative purposes.

Access Application Processing

Select Process Application to update admissions steps and the applicant’s enrollment status. Because processing may lead to acceptance, rejection, waitlisting, or student enrollment, verify the submitted information and documents first.

NotesImportant: Applicant records contain sensitive personal information. Access, edit, print, assign, tag, comment on, or archive applications only when authorized.
