Send WhatsApp Messages

Overview

The WhatsApp section in the Communication module allows administrators to communicate with students, parents, staff members, or communication groups using WhatsApp. This provides a quick and familiar way to deliver announcements, reminders, and other important school communications.

WhatsApp messaging is available only when the institution has configured and enabled a supported WhatsApp messaging provider.

Accessing WhatsApp

  1. Navigate to Communication.
  2. Select WhatsApp from the navigation panel.

The WhatsApp page displays your recent conversations.

Starting a New Chat

  1. Click New Chat.
  2. In the To field, select one or more recipients.
  3. You may also choose one or more Communication Groups.
  4. Enter your message in the message box.
  5. Review the recipients and message.
  6. Click Send Message.

The message is delivered to the selected recipients through WhatsApp.

Viewing WhatsApp Conversations

The WhatsApp page displays recent conversations in the left panel.

Select any conversation to:

  • View previous messages.
  • Continue an existing conversation.
  • Review communication history with a recipient.

This threaded conversation view helps administrators keep track of ongoing communications.

Using Communication Groups

Communication Groups allow administrators to send the same WhatsApp message to multiple recipients without selecting each user individually.

This is useful for sending announcements to:

  • Classes
  • Grade levels
  • Departments
  • Staff teams
  • Parent groups
  • Other predefined recipient groups

When WhatsApp Is Not Enabled

If WhatsApp messaging has not been configured, the system displays a notification indicating that the service is unavailable.

Contact your system administrator or configure a supported WhatsApp provider before attempting to send messages.

Best Practices

  • Use WhatsApp for timely announcements and reminders.
  • Verify recipients before sending messages.
  • Use Communication Groups for school-wide or department-wide communications.
  • Keep messages concise and professional.
  • Review previous conversations before continuing an existing discussion to maintain context.
