Understanding Communication Settings in openSIS

Overview

The Default Communication Settings in openSIS allow administrators to configure the communication gateways used across the application. These settings establish the Email Server, SMS, and WhatsApp services that support communication features available in openSIS.

Depending on the configured services, institutions can:

  • Configure the Email Server for system-generated emails
  • Configure SMS gateway settings
  • Configure WhatsApp messaging integration

These settings help schools establish centralized communication services for students, parents, staff, applicants, and other users.

openSIS currently supports communication gateway integration through providers such as:

  • Twilio Gateway
  • Other supported communication providers

Accessing Communication Settings

To access Communication Settings:

Settings > School Settings > Default Communication Settings

The screen contains separate tabs for:

  • Email Server
  • SMS
  • WhatsApp

Administrators can configure communication credentials and sender information from these sections.


Why Communication Settings Are Important

Communication settings provide the communication gateway configuration used by different features throughout openSIS. Depending on the communication channel, these settings support both automated system notifications and user-initiated communication.

Configured communication gateways may be used for:

  • Attendance notifications
  • Announcements
  • Alerts and reminders
  • Password-related communication
  • Emergency communication
  • Administrative messaging

Proper gateway configuration ensures reliable communication delivery.


Email Server Settings

The Email Server tab allows administrators to configure the SMTP server used for system-generated emails in openSIS.

Once configured, automated emails can be sent using the institution's own email address instead of the default system sender.

Typical email server configuration includes:

  • Settings Type
  • SMTP Provider
  • SMTP Host
  • Port
  • Encryption
  • From Email Address
  • Username
  • Password / App Password

The Email Server configuration is used for automated communications such as:

  • Billing notifications
  • Admissions and application event emails
  • Password reset emails
  • Other system-generated email notifications
NotesNote: This Email Server configuration is used only for automated emails. Email settings used for manually sending messages are configured separately under Communication > Settings.


SMS Communication Settings

The SMS tab allows administrators to configure SMS gateway credentials.

Typical SMS configuration fields include:

  • Provider
  • Account SID
  • Auth Token
  • SMS From Number
  • Test Number

These credentials are provided by the selected communication provider.


WhatsApp Communication Settings

The WhatsApp tab allows institutions to configure WhatsApp messaging integration.

Typical WhatsApp configuration fields include:

  • Provider
  • Account SID
  • Auth Token
  • WhatsApp From Number
  • Test Number

The configured sender number must typically be verified through the communication provider.


Twilio Gateway Integration

Twilio Gateway is one of the supported communication providers in openSIS.

Twilio supports:

  • SMS communication
  • WhatsApp communication

Administrators must configure valid Twilio credentials to activate messaging services.


Test Number Usage

The Test Number field allows administrators to verify communication setup before using the gateway in production workflows.

This helps institutions:

  • Validate credentials
  • Verify sender numbers
  • Confirm communication delivery
  • Detect configuration issues early

Communication Security

Communication credentials such as:

  • SMTP Username
  • SMTP Password / App Password
  • Account SID
  • Auth Token

should be stored securely and only managed by authorized administrators.

Incorrect credentials may prevent communication delivery.
