View a Student’s Attendance Calendar

The Attendance section of a student profile provides a calendar-based view of the student’s attendance information. Authorized users can review attendance activity for an individual student, move between date ranges, and switch between weekly and monthly calendar views.

This page is intended for reviewing the selected student’s attendance record. School-wide attendance entry, correction, and reporting functions remain available under the main Attendance module.

  1. Log in to openSIS.
  2. Select the required school, academic year, and marking period.
  3. From the left navigation menu, expand Students.
  4. Select Student Information.
  5. Search for the required student.
  6. Select the student’s name.
  7. From the student profile menu, select Attendance.

InfoNavigation: Students > Student Information > Student’s Name > Attendance

The calendar opens using the available attendance view for the selected student.

Verify the Student and Academic Context

Before reviewing attendance, confirm:

  • The correct student name and photograph appear in the profile panel.
  • The correct school is selected.
  • The required academic year is selected.
  • The applicable marking period is selected.
  • The calendar is displaying the intended month or week.

Attendance records are date-specific. Reviewing an incorrect academic year or calendar period may make it appear that no attendance information is available.

Understand the Calendar

The Attendance calendar displays days of the week across the page and organizes attendance information according to the selected view.

In Month View, the calendar displays:

  • Sunday through Saturday
  • Dates belonging to the selected month
  • Dates from the preceding or following month when required to complete the calendar
  • Any student-attendance information available for the displayed dates

Weekend dates may be visually distinguished from regular weekdays.

If no attendance information appears in a date cell, it means no attendance entry is displayed for that date in the current view. It should not automatically be interpreted as confirmation that the student was present. Review the institution’s attendance configuration and detailed attendance records when verification is required.

Use Month View

Month View provides a broad overview of the selected month.

  1. Open the student’s Attendance page.
  2. Select Month View.
  3. Confirm the month and year displayed at the top.
  4. Review the dates and available attendance information.
  5. Use the navigation arrows to move to another month.

Month View is useful when reviewing patterns over a longer period or checking multiple attendance dates together.

Use Week View

Week View provides a more focused view of a single week.

  1. Select Week View in the upper-right corner.
  2. Review the displayed week.
  3. Use the navigation controls to move to an earlier or later week.
  4. Return to Month View when a wider calendar range is required.

Week View can make it easier to review attendance information for a specific short period without displaying the complete month.

Use the left and right arrows beside the displayed period.

  • Select the left arrow to move to the previous month or week.
  • Select the right arrow to move to the next month or week.

The movement depends on whether Month View or Week View is selected.

After navigating, verify the displayed date range before interpreting the attendance information.

Review Attendance Information

When attendance information is available, review the entries displayed on the applicable dates.

Depending on the school’s attendance setup, student attendance may be recorded through:

  • Daily attendance
  • Period attendance
  • Course-section attendance
  • Another institution-configured attendance method

The information visible from the student profile is connected to records maintained through the Attendance workflow.

For more detailed verification, review the applicable attendance functions and reports in the main Attendance module.

Understand an Empty Calendar

An empty calendar may occur when:

  • No attendance records are displayed for the selected period.
  • The selected month falls outside the student’s enrollment dates.
  • Attendance has not yet been entered.
  • The wrong academic year or marking period is selected.
  • The student does not have an applicable schedule.
  • Attendance is maintained through another configured context.
  • The user does not have permission to view the relevant records.

Do not assume that an empty calendar confirms perfect attendance. Check the student’s enrollment dates, course schedule, and the appropriate Attendance report when necessary.

Compare Attendance with Enrollment

If expected attendance information is missing:

  1. Open Student Details > Enrollment Info.
  2. Review the student’s enrollment date and any exit date.
  3. Confirm that the student was actively enrolled during the calendar period.
  4. Review the assigned enrollment calendar.
  5. Return to Attendance and open the applicable date range.

Attendance should be interpreted within the student’s active enrollment period and assigned school calendar.

Compare Attendance with the Course Schedule

When the school uses course or period attendance:

  1. Open the student’s Course Schedule.
  2. Confirm that the student was assigned to the applicable course section.
  3. Review the course enrollment and drop dates.
  4. Return to Attendance.
  5. Review the same date range.

A student may not have period-attendance information for a course before the course enrollment date or after the course drop date.

Use Attendance Reports for More Detail

The main Attendance module provides reports for broader or more detailed review, including functions such as:

  • Daily Attendance
  • Missing Attendance
  • Period Attendance
  • Average Daily Attendance
  • Student Attendance Summary
  • Daily Absence List

Use the Student Attendance Summary or another relevant report when a calendar view alone does not provide enough information.

Correct Attendance Information

The student-profile calendar is primarily a review area. If an attendance record is missing or incorrect:

  1. Confirm the student and date.
  2. Identify whether the school uses daily or period attendance.
  3. Open the appropriate Attendance workflow.
  4. Follow the institution’s authorized correction process.
  5. Return to the student profile and verify the updated information.

Do not change an attendance record without appropriate authorization or supporting information.

Protect Student Attendance Data

Attendance information forms part of the student’s educational record. Users should:

  • Review only students they are authorized to access.
  • Avoid sharing screenshots through unapproved channels.
  • Verify the student before discussing attendance.
  • Use approved reports for official communication.
  • Follow institutional procedures for corrections.
