View and Edit a Student’s General Information

The General Info section of a student profile contains the student’s identification, demographic, access, and integration information. Authorized users can review the student’s core details, update the profile, manage portal access, check login activity, and view synchronization status for connected services such as Moodle and QuickBooks.

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. From the left navigation menu, expand Students.
  4. Select Student Information.
  5. Search for the required student.
  6. Select the student’s name.
  7. Under Student Details, select General Info.

The student’s profile panel appears on the left, while the General Information page displays the student’s recorded information.

Review the Student Profile Panel

The profile panel displays the student’s photograph and name. It also provides access to the different areas of the student record, including:

  • General Info
  • Enrollment Info
  • Address & Contact
  • Family Info
  • Medical Info
  • Comments
  • Custom student-information categories
  • Application Info, when applicable
  • Course Schedule
  • Attendance
  • Documents
  • Grades
  • Communication
  • Fees
  • Behavior

The sections available depend on the system configuration, student record, and user permissions.

Review Identification Information

The Identification Information section contains the student’s core identifying details. These may include:

  • Student Name: The student’s complete recorded name.
  • Preferred/Common Name: The name the student commonly uses, when provided.
  • Student ID: The primary institutional identifier assigned to the student.
  • Admission Number: The student’s admission or registration number, when applicable.
  • Roll Number: The student’s assigned roll number, when available.

A hyphen appears when a field does not contain a value.

Student identifiers should be entered carefully because they may be used for searching, reporting, integrations, and other academic or administrative workflows.

Review Demographic Information

The Demographic Information section may include:

  • Date of Birth
  • Gender
  • Race
  • Ethnicity
  • Marital Status
  • Country of Birth
  • Nationality
  • First Language
  • Second Language
  • Third Language
  • Physically Fit indicator

The demographic fields available to an institution depend on its configuration and data-collection requirements.

Only record demographic information that is required and supported by the institution’s approved policies. Sensitive personal data should be accessible only to authorized users.

Review Access Information

The Access Information section displays the student’s portal and login details.

Available information may include:

  • Login Email Address: The email address used to access the student portal.
  • Portal Access: Indicates whether the student is permitted to sign in.
  • Disable Student: Indicates whether the student account is disabled.
  • Allow SSO Login: Shows whether Single Sign-On is enabled.
  • Last Login: Displays the student’s most recent login activity or indicates that the student has never logged in.

Portal access and student enrollment status are separate. A student may remain enrolled while portal access is disabled.

Edit General Information

  1. Open the student’s General Info page.
  2. Select Edit Information.
  3. Review the available identification, demographic, and access fields.
  4. Update the necessary information.
  5. Confirm that all required fields are complete.
  6. Save the changes.

Use the available Cancel option when the changes should not be saved.

After saving, return to the General Info view and verify the updated values.

Update the Student’s Identification Details

When editing identification information:

  • Enter the student’s legal or institution-approved name accurately.
  • Record a preferred name only when it is applicable.
  • Verify Student ID and other institutional identifiers before saving.
  • Avoid creating duplicate identifiers.
  • Check that admission and roll numbers follow the institution’s required format.

Changes to identifying information can affect searches, reports, exports, and integrations. Confirm the student’s identity before modifying these values.

Update Demographic Information

Select or enter the applicable demographic values. When a field is not required or the information is unknown, follow the institution’s data-entry policy instead of entering an assumed value.

Language information can help institutions identify communication or instructional needs. Similarly, other demographic fields may support authorized reporting and student services.

Manage Portal Access

Use the available portal-access control to determine whether the student can use the openSIS student portal.

  • Enable Portal Access when the student should be permitted to sign in.
  • Disable it when the student should temporarily or permanently lose portal access.

Before enabling access, verify that the student has an appropriate login email address.

Portal access may also be required for synchronization with certain connected platforms.

Manage SSO Login

Enable Allow SSO Login when:

  • Single Sign-On has already been configured for the institution.
  • The student is expected to authenticate through the configured identity provider.
  • The student’s login information matches the institution’s SSO requirements.

This option authorizes SSO use for the student; it does not configure the institution’s SSO connection.

Disable a Student

Use Disable Student when the student record must remain in openSIS but the student account should be disabled.

Disabling a student should not be used as a substitute for recording an enrollment exit, rollover decision, or school transfer. Those actions should be managed through Enrollment Info or the appropriate enrollment workflow.

Update the Student Photograph

  1. Select the student photograph area.
  2. Choose an appropriate image from the device.
  3. Complete the upload.
  4. Save the student information if required.
  5. Confirm that the photograph appears correctly in the profile panel.

Use a clear image that follows the institution’s student-photo guidelines.

Review Moodle Information

The Moodle Information section indicates whether the student is synchronized with Moodle.

The page may display:

  • The student is synchronized with Moodle.
  • The student is not synchronized with Moodle.

Synchronization status helps administrators identify whether the student record is connected to the institution’s Moodle environment.

Students without portal access may not be eligible for synchronization. Verify the student’s access configuration before attempting to include the student in a Moodle synchronization process.

Review QuickBooks Information

The QuickBooks Information section indicates whether the student is synchronized with QuickBooks.

The displayed status helps administrators determine whether the student record has been connected to the institution’s configured QuickBooks integration.

Synchronization itself can be managed for selected students through Group Assign Student Info, subject to the institution’s integration configuration and permissions.

Understand Custom Student Categories

Custom student-information categories may appear under Student Details. In the example, these include:

  • Students Other Info
  • Sport Performance

These are not fixed standard sections. Their names and fields depend on the custom student categories configured by the institution.

Authorized users can open these categories to review or update the configured information. Custom-field values can also be assigned to multiple students through Group Assign Student Info when supported.

View Application Information

Application Info becomes available when the student record was created through enrollment from an Admissions application.

This section allows authorized users to reference the applicable application information connected to the enrolled student.

If the student was created manually, imported, or does not have a connected admissions application, Application Info may remain unavailable.
