The Application Forms page provides a central location for viewing and managing the admission forms created for the selected school. From this page, authorized users can search for a form, review its publication status, open it for editing, preview the applicant-facing form, copy its published link, create a copy, or delete it when permitted.

The page displays the application forms available in the selected school context.
Each row represents an application form created for the institution. The following information is displayed:
The Form Name identifies the application form. Select the form name to open the form builder and review or update its structure and configuration.
Use descriptive form names that help administrators understand the form’s purpose. For example, an institution may maintain separate forms for general admissions, program-specific applications, demographic information, or supplemental applicant information.
The Last Updated column shows the date on which the form was most recently changed. This information helps administrators identify recently revised forms and confirm whether a form has been updated for the current admissions cycle.
The Updated By column displays the name of the user who most recently modified the form. This supports administrative traceability when multiple staff members manage admission forms.
The Allow Direct Enrollment column indicates whether the form is configured to enroll an applicant directly after the form is successfully submitted.
Direct enrollment should be enabled only when the institution intends to convert successful submissions into enrolled student records without the standard admissions review process.
The Status column displays the current availability of the form, such as Active. An active form has been published and is available according to its published configuration.
A form’s status should be reviewed before its URL is shared with prospective applicants.
The Action column contains options for previewing, accessing, copying, and managing the form.
The exact actions available may depend on the form’s publication status and the user’s permissions.
Use the search option when the institution has multiple forms.
Searching is helpful when forms have been created for different programs, admission periods, campuses, or applicant groups.
Updating a published form may affect future applicant submissions. Review all changes carefully before republishing.
The Preview option allows administrators to review the applicant-facing form.
Previewing the form helps identify missing fields, unclear instructions, layout issues, and other problems before the form is shared publicly.
Note: Previewing a form does not create an applicant record or submit an application.
The link icon provides access to the published application form URL.
The published URL may be placed on the institution’s website or shared directly with prospective applicants.
Only distribute the link after confirming that:
Copying a form creates a reusable version of an existing form. This is useful when a new form requires the same structure as a previously created form but needs different fields, settings, or instructions.
Review all settings after copying, including direct enrollment, linked-form configuration, email communication, fees, subscriptions, privacy notes, and conditional logic. Do not assume every configuration should remain unchanged in the new form.
The Delete Form option may be available from the three-dot menu.
The Delete Form option may be unavailable when the form has already been published, used, linked, or associated with applicant records. A disabled option indicates that the form cannot currently be deleted.
Important: Deleting a form may permanently remove its structure and configuration. Confirm that the form is not needed for future use or historical reference before deleting it.
