View, Search, and Filter Applicants

The Applicants page provides a centralized list of applications submitted through the openSIS Admissions module. Admissions staff can review key applicant information, search for specific records, filter applications by multiple criteria, display archived applications, export the results, and open individual applications for further review or processing.

  1. Log in to openSIS.
  2. Select the required school and academic year.
  3. From the left navigation menu, expand Admissions.
  4. Select Applicants.

The page displays applications available within the selected school and academic-year context.

Understand the Applicants List

Each row represents an applicant or submitted application. The following columns may be displayed:

Application Date

Displays the date on which the application was submitted or recorded.

Applicant’s Name

Displays the applicant’s name in the format used by the institution.

Application ID

Displays the unique identifier assigned to the application. Select the Application ID to open the complete Applicant Information page.

A number displayed beside an Application ID may indicate that additional forms or submissions are connected to the application.

Student ID

Displays the student identifier when the applicant has been enrolled or connected to an existing student record. A hyphen appears when no Student ID is currently associated with the application.

Mobile Phone

Displays the applicant’s recorded mobile number. A hyphen indicates that the information is unavailable.

Email Address

Displays the email address collected for the applicant or the configured communicating contact.

Program

Displays the program associated with the application when program information is available.

Tags

Displays the tags assigned to the application. Tags help admissions staff categorize and identify applicant records.

Payment Status

Shows the current application payment status, such as:

  • Paid
  • Unpaid
  • N/A

N/A may appear when the application does not require a payment or no payment configuration applies.

Status

Displays the application’s current enrollment or admissions status, such as Applied, Waitlisted, Rejected, or Enrolled.

Process

The gear icon provides access to the application’s process steps and status controls. The icon may be unavailable for applications that have already completed the applicable workflow.

Filter by Marking Period

Use the Marking Period filter to view applications associated with a particular period.

  1. Open the Marking Period list.
  2. Select the required marking period.
  3. Complete any other required filter selections.
  4. Select Search.

Select All Dates when applications should not be limited to one marking period.

Filter by Direct Enrollment

The Direct Enrollment filter helps distinguish applications submitted through forms with direct enrollment enabled from applications following the standard admissions workflow.

  1. Open the Direct Enrollment list.
  2. Select the appropriate option.
  3. Select Search.

Choose All when both direct-enrollment and standard applications should be displayed.

Filter by Application Status

Use the Status filter to locate applications according to their current admissions or enrollment status.

  1. Open the Status list.
  2. Select the required status.
  3. Select Search.

Available statuses may include:

  • Applied
  • Incomplete Application
  • Provisionally Accepted
  • Accepted
  • Rejected
  • Waitlisted
  • Enrolled

The values available may depend on the institution’s configuration and admissions workflow.

Display Archived Applications

Archived applications are hidden from the regular applicant list unless the archive option is enabled.

  1. Turn on Show Archived Applications.
  2. Select Search.
  3. Review the archived applications displayed in the list.
  4. Turn the option off and search again to return to active applications.

Archiving is useful when an application must be retained for reference but should no longer appear in the normal admissions workflow.

Search for an Applicant

Use the search field above the list to locate a specific applicant or application.

  1. Select the Search field.
  2. Enter the relevant applicant or application information.
  3. Review the matching records.
  4. Clear the search text to return to the complete list.

The search option is particularly useful when the applicant’s name or application identifier is known.

Filter by Assigned User

The Assigned To filter allows admissions staff to view applications assigned to a particular user.

  1. Open the Assigned To list.
  2. Select the required staff member or user.
  3. Review the filtered applications.

This filter supports workload management by helping administrators identify which applications are assigned to each admissions team member.

Filter by Tags

Tags can be used to categorize applications according to institution-defined requirements.

  1. Select Tags.
  2. Choose the relevant tag or tags.
  3. Apply the selection.
  4. Review the matching applications.

Tags may be used for classifications such as priority, follow-up required, missing documents, program group, or another admissions category established by the institution.

Filter by Process Steps

Use the Process Steps filter to identify applications according to the progress of the admissions review.

  1. Open the Process Steps list.
  2. Select the required step.
  3. Review the matching applications.

This filter helps admissions staff find applications that have completed or still require a particular action, such as document review, interview, academic verification, or acceptance communication.

Filter by Payment Status

Use Payment Status to locate applications according to their payment condition.

  1. Open the Payment Status list.
  2. Select the required option.
  3. Review the results.

This can help staff identify applications with completed payments, unpaid charges, or no applicable payment requirement.

Combine Multiple Filters

Multiple filters can be used together to narrow the list.

For example, admissions staff may filter applications by:

  • A specific marking period
  • Applied status
  • Unpaid payment status
  • A particular assigned user
  • A required process step

When several filters are active, review each selection if expected records do not appear.

Use the available filter icon to access or manage additional list-filtering options where applicable.

Export Applicant Information

The Applicants list can be exported to Excel.

  1. Apply the required search criteria and filters.
  2. Review the displayed records.
  3. Select the Excel icon.
  4. Open the generated file and verify the exported information.

Applying filters before exporting can help create a focused working list for authorized administrative use.

InfoImportant: Applicant exports may contain personal and sensitive information. Store, share, and dispose of exported files according to the institution’s data privacy and security policies.

Open an Applicant Record

To review a complete application:

  1. Locate the required applicant.
  2. Select the Application ID.
  3. Review the Applicant Information page.

To update process steps or the application status directly from the list, select the active gear icon under Process. Detailed application management and processing are covered in separate articles.
