View, Search, and Manage the Student List

The Student List provides a centralized view of student records in openSIS. From this page, authorized users can search for students, perform an advanced search, save frequently used search criteria as named filters, load previously saved filters, export student information, open student profiles, impersonate students, review data-edit history, and perform actions for multiple selected students.

  1. Log in to openSIS.
  2. Select the required school, academic year, and marking period.
  3. From the left navigation menu, expand Students.
  4. Select Student Information.

The Student List displays the students available within the selected school and academic-year context.

Understand the Student List

Each row represents a student record. The following information may be displayed:

  • Name: Displays the student’s name. Select it to open the student profile.
  • Moodle Synced: Indicates whether the student is synchronized with Moodle.
  • Student ID: Displays the student’s primary institutional identifier.
  • Alternate ID: Displays an additional identifier when one has been recorded.
  • Grade Level: Shows the student’s current grade.
  • School Email: Displays the student’s school email address.
  • Mobile Phone: Displays the student’s recorded mobile number.
  • Action: Provides options for impersonating the student and reviewing record history.

A hyphen appears when a particular value is not available.

Search for a Student

Use the standard search field when the student can be identified using basic information.

  1. Select the Search field.
  2. Enter the student’s name, identifier, or other supported information.
  3. Review the matching records.
  4. Clear the search text to return to the complete list.

Use Advanced Search when more specific criteria are needed.

  1. Select Advanced Search.
  2. The Advanced Search panel will open.
  3. Turn on Search All Schools if the student may belong to another school available to you.
  4. Turn on Include Inactive Students when inactive records should be included.
  5. Expand the relevant search section.
  6. Enter one or more search criteria.
  7. Apply the search.
  8. Review the resulting Student List.

The available Advanced Search sections may include:

  • Identification Information
  • Access Information
  • Search Birthdays Between Date Range
  • Demographic Information
  • Enrollment Information
  • Address Information
  • Personal Contact Information
  • Other configured student-information categories

Search by Identification Information

The Identification Information section may include fields such as:

  • First/Given Name
  • Middle Name
  • Last/Family Name
  • Preferred/Common Name
  • Previous/Maiden Name
  • Student ID
  • Alternate ID
  • District ID
  • State ID
  • Admission Number
  • Roll Number
  • Social Security Number
  • Other Government-Issued Number

Enter only the criteria needed to identify the intended group. Adding too many criteria may exclude otherwise valid results if some student records do not contain every value.

Search Across Schools

Enable Search All Schools when the search should not be restricted to the currently selected school.

The results remain limited to schools and student records the user is authorized to access.

Leave this option off when the search should apply only to the school selected at the top of the page.

Include Inactive Students

Inactive students are excluded from the standard active-student list.

To locate an inactive student:

  1. Open Advanced Search.
  2. Turn on Include Inactive Students.
  3. Enter any additional criteria.
  4. Apply the search.

Use this option when reviewing former, withdrawn, graduated, transferred, disabled, or otherwise inactive student records retained by the institution.

Save Search Criteria as a Named Filter

Frequently used search criteria can be saved as a filter.

  1. Open Advanced Search.
  2. Select the required search options and enter the criteria.
  3. Apply or choose the available option to save the search metrics.
  4. Enter a clear name for the filter.
  5. Save it.

Use names that communicate the filter’s purpose, such as:

  • Grade 11 Active Students
  • Inactive Students
  • Students with Upcoming Birthdays
  • Moodle-Synced Students
  • Students Missing School Email

A saved filter stores the selected search criteria so the same search does not need to be rebuilt later.

Load a Saved Filter

  1. Return to the Student List.
  2. Select Load Filter.
  3. Review the saved filters.
  4. Select the required filter.
  5. The system will apply the saved search criteria and display the matching students.

If the results are not what you expect, review the current school, academic year, and the criteria stored in the filter. A saved filter applies the defined search conditions to the records currently available to the user.

Apply List Filters

Use the filter icon to refine the information displayed in the Student List.

  1. Select the filter icon.
  2. Choose the applicable criteria or columns.
  3. Apply the filter.
  4. Review the results.
  5. Clear the filter when the complete list is required.

Filters and saved Advanced Search criteria can help administrators create focused working groups.

Export the Student List

  1. Search for or filter the required students.
  2. Review the displayed records.
  3. Select the Excel icon.
  4. Open the generated file.
  5. Confirm that it contains the intended students.

InfoImportant: Student exports contain personal information. Store and share exported files only through institution-approved methods.

Open a Student Profile

  1. Locate the required student.
  2. Select the student’s name.
  3. The Student Information profile will open.

The profile provides access to general information, enrollment, address and contact details, family, medical records, comments, custom categories, schedules, attendance, documents, grades, communication, fees, and behavior information according to the user’s permissions.

Impersonate a Student

The Impersonate as Student option allows an authorized user to access openSIS from the selected student’s perspective.

  1. Locate the required student.
  2. Under Action, select the Impersonate as Student icon.
  3. Review the student-facing portal and available information.
  4. Exit impersonation using the system’s available return option.

Impersonation is useful for authorized troubleshooting and portal-access verification.

InfoImportant: Use impersonation only for approved support or administrative purposes. The impersonated view follows the student’s access permissions.

View Data Edit Information

The history icon under Action displays information about the creation and latest modification of a student record.

  1. Locate the student.
  2. Select the Data Edit Info icon.
  3. Review the available creation and modification details.
  4. Close the window after reviewing the information.

This information supports administrative traceability by identifying when and by whom a record was created or changed.

Perform Actions for Multiple Students

Use the checkboxes to select one or more students.

  1. Select the checkbox beside each required student.
  2. Open the three-dot menu.
  3. Choose one of the available actions:
    • Send Message
    • Add Activities
    • Delete Selected

Send Message

Use Send Message to begin a communication for the selected students. Verify the recipients before sending the message.

Add Activities

Use Add Activities to assign or record an activity for the selected students according to the available Communication workflow.

Delete Selected

Use Delete Selected only when the selected records are eligible for deletion and the action is authorized.

Review the selection carefully before confirming. If the students should remain in institutional history but no longer be active, use the appropriate enrollment, exit, or disable process instead of deleting their records.

Add or Import Students

Select Add New to begin creating an individual student record.

To access the bulk-import option:

  1. Select the arrow beside Add New.
  2. Select Import Students.
