How to Edit or Delete Applicant Fields

Description

As admission requirements evolve, administrators may need to update existing applicant fields or remove custom fields that are no longer required. openSIS allows custom applicant fields to be edited to modify their configuration or deleted when they are no longer in use.

Keeping applicant fields up to date ensures that application forms remain relevant and collect only the information required by your institution.

Edit an Applicant Field

  1. Navigate to Settings → Admissions Settings → Applicant Fields.
  2. Select the category containing the field you want to modify.
  3. Locate the applicant field in the list.
  4. Click the Edit (✏️) icon in the Action column.
  5. Update the required field properties, such as:
    • Field Name
    • Field Type (if applicable)
    • Default Value
    • Required status
    • Hidden status
    • Student Field Mapping
  6. Click Submit to save your changes.

The updated configuration is applied immediately.


Delete an Applicant Field

  1. Navigate to Settings → Admissions Settings → Applicant Fields.
  2. Select the category containing the custom field.
  3. Locate the field you want to remove.
  4. Click the Delete (🗑️) icon.
  5. Confirm the deletion when prompted.

The selected custom field is permanently removed from the applicant field configuration.


When Should You Edit a Field?

Consider editing a field when you need to:

  • Rename a field for better clarity.
  • Change whether the field is required.
  • Show or hide the field on the application form.
  • Update the default value.
  • Modify or add student field mapping.

When Should You Delete a Field?

Delete a custom field when:

  • It is no longer required during admissions.
  • The information is collected elsewhere.
  • A replacement field has been created.
  • The field was created for temporary admission requirements.

Notes

  • Only custom applicant fields can be edited or deleted.
  • Default fields provided by openSIS remain part of the standard admissions configuration.
  • Deleting a field permanently removes it from the applicant form configuration.
  • Consider reviewing existing applicant data before deleting fields that may already contain information.

Best Practices

  • Edit existing fields whenever possible instead of creating duplicate fields.
  • Delete only fields that are no longer needed.
  • Review field mappings before making changes to ensure enrollment data continues to populate correctly.
  • Periodically review custom fields to keep the application form organized and easy to complete.

Applicant fields are updated or removed as needed, ensuring the admissions application form remains accurate, organized, and aligned with the institution's admission requirements.
