Managing User Profiles and Permissions

Description

User Profiles determine what users can view and edit throughout openSIS. Each profile contains a predefined set of permissions that control access to modules, pages, and administrative functions based on the user's role.

openSIS includes several default profiles for common user types such as School Administrator, Teacher, Parent, and Student. Institutions can also create custom profiles to accommodate specialized responsibilities while maintaining secure, role-based access.

Understanding the User Profiles Page

The Administration Settings page is divided into two sections:

Available Profiles

The left panel displays all available user profiles.

Default profiles include:

  • School Administrator
  • Admin Assistant
  • Teacher
  • Homeroom Teacher
  • Parent
  • Student

Any custom profiles created by the institution also appear in this list.


Permission Matrix

Selecting a profile displays its permission matrix.

Permissions are organized by module and can be expanded to view individual pages and features.

Each item includes two permission levels:

  • Can View – Allows users to access and view the page.
  • Can Edit – Allows users to create, update, or modify information.

Administrators can expand or collapse modules to simplify permission management.

Permissions are grouped according to the application's navigation structure.

Expanding a module displays its individual pages and settings.


How Permissions Work

Each permission can be enabled independently.

PermissionDescription
Can ViewAllows users to open and view the page or module.
Can EditAllows users to add, modify, or manage records within that page.

By assigning only the permissions required for a user's responsibilities, institutions can enforce role-based access control throughout openSIS.


Default Profiles

Default profiles provide ready-to-use permission sets for common user roles.

These profiles serve as a starting point and help institutions quickly assign appropriate system access.

If additional permission combinations are required, administrators can create custom profiles.
